  • Strong communication skills
  • A strategy for prioritizing
  • Enjoys a fast-paced work environment and meeting deadlines

Example:

"I complete general tasks in the order I receive them. For projects with similar deadlines, I set clear expectations with my managers of what I will do and when, and I communicate to them what they can expect from me. In the case of projects with immediate deadlines, I prioritize tasks, assign blocks of time to each one, and use project management software."

Describe a situation when you handled confidential information.

Since program assistants work with all team members and their clients, they're involved in all aspects of various projects, including confidential information. I'd then email all parties and participants to briefly state the error, that the website is corrected, and restate the correct information."

  • Lesson learned to prevent the same mistake from happening again

Example:

"In a previous position, I was responsible for scheduling travel and car service for my boss. In one instance, I forgot he had a layover in Los Angeles on a Saturday and hadn't scheduled a car to pick him up from the airport. I missed a phone message from him, so I called him and apologized for my mistake with no excuses. After that, every Friday I scheduled 30 minutes to double-check travel schedules and car pickup times. I added this information with confirmation and contact numbers to his calendar for backup if he couldn't reach me."

Explain how people with good emotional intelligence deal with difficult people and avoid conflict.

To thrive in a work environment, certain skills and qualities representing emotional intelligence (EI) are required. The candidate should express knowledge of how emotional intelligence helps deal with conflict. What to look for in an answer:

  • Recognition of EI qualities
  • How EI qualities help eliminate conflict
  • Engaging in EI to become more productive

Example:

"I establish boundaries with difficult people, and when interacting with them, I focus on finding solutions and not on the problem. I ignore negative talk and disconnect from negative situations. The best thing is to stay connected with like-minded people for support and inspiration. Handling conflict with them means talking and listening to each other and working out a solution that's most beneficial to the company."

Besides organizational software, what programs and software can you use?

A program assistant needs to come into the job with computer skills and experience with various types of software. The candidate should outline all the programs they have experience with so you can determine if they fit into the company culture. What to look for in an answer:

If I get stuck because I can't focus, figure out certain elements of the project, or think creatively, I take a break and disconnect for a few minutes. I go back to the original project plan and review the tasks or discuss them with a team member. Other actions include researching similar projects for fresh ideas and reviewing past projects for ideas."

What is one of the most significant contributions to a team project?

  • Example of a contribution to a team
  • Ability to understand team dynamics

Example:

"As an intern, I worked at a nonprofit where the culture often required six hours of meetings a day. I could see how tiring this was for the attendees. I recommended we make internal meetings only 50 minutes long, allowing for bathroom breaks and time to check emails. Upon approval, I worked with the tech team, created a plan that adjusted everyone's calendar, and alerted everyone about the change."

Has there been a time when you needed to exercise discretion?

This question is designed to go beyond confidentiality and address communications and management activities that shouldn't be shared with staff. The candidate should understand the use of good judgment. What to look for in an answer:

  • Not divulging all the details
  • Using good judgment when discussing various situations
  • Ability to talk about situations vaguely but get the point across

Example:

"I worked for an executive who counted on me for feedback on morale and reactions to company changes. When coworkers confided in me so I could help the office function better, I would share employee feedback without giving details or names. This allowed me to fix problems without sharing the identity of any unhappy workers. I built trust on both sides."

What experience do you have with event planning software?

What would you do if your project suddenly changed in its scope or deadline?

  • Problem-solving
  • Process for implementing change
  • Managing changes appropriately while saving the project

I would evaluate the changes and determine what's feasible within the deadline and budget. From there, I would put together an updated project plan for all to review and approve. If a deadline is changed, I would verify it and alert all parties. I would recommend changes to the scope of the project and possibly adjust the budget."
