Types of applications for job forms: templates and samples

Here are the three primary types of job applications:

  • Online job application forms: many employers choose to use online application forms in their recruitment process, as they are simple for candidates to submit and for companies to process. With this method, candidates fill out a form on your company’s website or through an online recruitment platform.
  • In-person job application forms: candidates can complete a paper application on company premises or at a job fair. You can also ask candidates to send in their applications by postal mail if your recruitment team prefers reviewing paper applications.
  • Job applications via email: receiving job applications through email is often the preferred recruitment process for small to mid-sized businesses. With this method, candidates either attach their application materials as separate files to an email or paste their job application into the body of the message.

What to include in a job application form

The specific sections of your job application form may vary depending on your industry, current company needs, and the type of job positions you hope to fill. However, many job applications require candidates to submit the same or similar types of information. Here are some of the most common sections to consider including on your job application forms:

Personal information

A candidate’s personal information includes their name, address, phone number, and email. Many recruiters also ask about a candidate’s demographics, such as their age, gender, citizenship status, and ethnicity. If you choose to ask these kinds of questions, take care to adhere to laws and regulations regarding employment equity during the hiring process.

Position and availability

If you’re currently recruiting for multiple positions, it’s essential to include a section on your job application forms that asks candidates to specify which role or roles they’re applying for. This section also often asks about a candidate’s availability. If you’re recruiting part-time employees, use this section to ask them which days or times they would be available for shifts. For both part- and full-time employees, you can ask candidates to write down the earliest date they’d be available to begin working.

Education

The education section asks candidates about the schools they’ve attended or currently attend. Depending on the type of position you’re hiring for, you may ask candidates to write down their entire education history, including their high school, university, and any graduate or training programs. You might also just ask candidates to share their most recent educational experiences. Some education sections on job applications require candidates to specify the dates they attended school and the type of degree, diploma, or certificate they earned.

Experience

The experience section on a job application asks candidates to list their most recent jobs, internships, and other professional roles. Most employers request candidates share multiple facts about their past experiences, including their role title, the company name, the dates they worked there, and their primary responsibilities or major accomplishments. You might also want to ask candidates why the position ended or why they’re looking for a new opportunity.

References

Many employers ask candidates to provide them with two to four references. Candidates should include the name of their reference and their contact information, such as a phone number or email address. It may also be helpful for candidates to share their relationship with the candidate, such as if this is a past supervisor, colleague, or professor. Some employers prefer to specify what type of references they want candidates to provide, such as one professional reference and one personal one.
