Job Description

York Property and York Developments are hiring for a Leasing Administrator to complete leasing administrative duties for suites under construction and newly built highrises. The Leasing Administrator will primarily be located at York Property Management’s main office and will report to the Director of Operations.

The Leasing Administrator will be primarily responsible for processing applications and leases and completing administrative tasks. This includes creating and processing rental applications and leases and assisting in the administrative and logistical organization of move ins during large scale lease-up, working hand in hand with the Leasing Team and Manager of Resident Experience Team.The Leasing Administrator may be required to work at new buildings when applicable.

The scope of this position will evolve in alignment with the expanding requirements of York’s portfolio. Priorities change often and quickly in this position and the candidate must be flexible and willing to change roles or responsibilities as required.

As a Leasing Administrator, the primary responsibilities include:

● Applications

○ Processing submitted applications on propertyware

○ Contact current/former landlords and employers to verify information; conduct credit and background checks

○ Advise all applicants of approval or decline and amount owing prior to move in then relay same information to Resident Experience Managers

● Leases

○ Create Tenancy Agreements and send out for signature

○ Maintain and update propertyware; convert leases, add auto charges, ppd, LMR, Key Deposit, prorate charges to ledger, insurance documentation, etc.

○ Ensure all move-in tasks are completed; payment received in full, signed Tenancy Agreement and Addendums are uploaded, Incoming Inspection

● Move Ins/Outs

○ Process Notices to Vacate in propertyware, ensuring preliminary and final inspections are conducted and uploaded

○ Keep record of keys returned, obtain and record forwarding address in propertyware

○ Assist with move-in/move-out schedules

○ Assist on large scale move in days in the logistics, coordination and move in inspections (assignments of storage, parking, keys, etc)

● Administration

○ Oversee and execute unit assignments and resident transfer requests, including the preparation of formal documentation and system configuration

○ Manage administrative requirements for parking, storage lockers, and amenity reservations across the portfolio

○ Coordinate with external service providers regarding telecommunications, utilities, and general property administrative needs

○ Perform comprehensive monthly audits for a variety of administrative tasks

○ Input administrative fees and miscellaneous charges into the property management software

● Other duties/responsibilities may be assigned based on site needs

● Knowledge of the Residential Tenancies Act

● Computer proficiency and the ability to learn property management software

● A minimum of two years of experience in property management and/or administration (preferred)

● Customer service and public speaking skills and experience

● Verbal and written communication skills and the ability to produce accurate documentation

● Organizational skills and the ability to multitask in a fast-paced environment

● Ability to work independently and as part of a team

● Ability to maintain lasting relationships with residents and coworkers

● Ability to take initiative and work with minimal supervision

● Demonstrate strong decision-making capabilities

● Ability to remain calm in stressful situations and to maintain a high level of confidentiality

York Property Management (YPM) manages 3,500+ residential apartment suites in Southwestern Ontario. YPM offers a variety of different layouts of suites which accommodate a diverse demographic of young couples, families, students and retirees. The company employs over 100 individuals working at head office, on site, or at various properties managed by YPM.
