Claims Specialist

Position Summary

The Claims Specialist plays a key role in ensuring accurate documentation, timely communication, and effective coordination with internal teams, insurance carriers, and external partners. This position supports claim resolution, cost control, and data integrity within a fast-paced, multi-jurisdictional operating environment.

This role is responsible for handling the full claim lifecycle for Automobile, General Liability, and Workers’ Compensation claims, from initial intake through resolution.

Key Responsibilities

  • Review, log, and process incoming Preliminary Incident Reports (PIRs), Motor Vehicle Accident (MVA) reports, injury reports, and third-party incident notifications.
  • Collect, organize, and maintain required claim documentation, including:

o Police reports

o Witness statements

o Employee statements

o Medical documentation (as applicable)

o Photographs, video, and supporting records

  • File and administer claims in accordance with company procedures, insurer requirements, and applicable regulatory standards.
  • Maintain consistent and professional communication with:

o Injured employees

o Field operations and management

o Insurance carriers and adjusters

o Legal counsel and external vendors

  • Track claim status, key milestones, reserves, and required follow-ups across Auto, GL, and WC claims.
  • Support claim investigations by coordinating internal fact-finding and responding to carrier or legal information requests.
  • Assist with return-to-work coordination and claim-related administrative support for Workers' Compensation claims.
  • Monitor vehicle damage and repair processes associated with auto claims, ensuring proper documentation and cost tracking.
  • Maintain complete, accurate, and auditable claim files for both open and closed claims.
  • Analyze claim trends and loss data to support internal reporting, risk identification, and continuous improvement initiatives.
  • Support policy and process reviews and recommend improvements to enhance claim handling efficiency and data quality.
  • Perform additional duties as assigned by the Claims Manager.

Qualifications & Experience

  • Minimum 2 years of experience in claims administration, insurance, risk management, or a related role.
  • Exposure to Auto, General Liability, and/or Workers' Compensation claims strongly preferred.
  • Working knowledge of basic claims investigation and documentation standards.
  • Strong organizational skills with the ability to manage multiple active claim files simultaneously.
  • Proficient in Microsoft Word and Excel; experience with claims management systems is an asset.
  • Clear, professional written and verbal communication skills.

Requirements

  • Associate degree in Business, Risk Management, Occupational Health & Safety, or a related field
  • (or an equivalent combination of education and experience)
  • Valid driver’s license and ability to travel frequently across the U.S. and Canada
  • Willingness to work in office, field, and active job site environments
