Job Summary

Our dynamic clinic, specializing in family medicine, Immigration Medical Exams, seafarer medicals, TB testing and travel health, is seeking an experienced and highly-organized Medical Office Assistant (MOA) to step into a key leadership role. We are looking for a self-starter who can not only provide outstanding front-line patient service but also take charge of daily operations and help coordinate our clinical team. This position offers significant autonomy and flexible hours, perfect for a professional seeking a rewarding challenge beyond the traditional MOA role.

Administrative & Patient-Facing Duties:

  • Conduct patient intake, including scheduling, registration, and gathering health history information for the chart.
  • Prepare and organize patient files and documentation in the EMR ahead of appointments.
  • Assist the physician and clinical staff with Immigration Medical Exams (IMEs) and other assessments by managing paperwork, forms, and scheduling logistics.
  • Coordinate TB testing appointments and follow-up scheduling (non-clinical support only).
  • Handle patient inquiries, phone calls, and correspondence, ensuring a high standard of patient service.

Managerial & Administrative Duties:

  • Oversee daily clinic flow, patient scheduling, and wait-time management.
  • Act as the primary clinic lead, coordinating and supporting other administrative staff.
  • Manage clinic inventory, including ordering and stocking of office and administrative supplies (in coordination with clinical staff for medical/vaccine supplies).
  • Ensure all administrative practices and documentation meet clinic policies and applicable privacy/regulatory standards (e.g., FOIPPA, clinic SOPs).
  • Support billing, MSP submissions, and other administrative/financial processes as needed.

Skills

  • Strong EMR experience and familiarity with clinic scheduling systems.
  • Exceptional organizational skills and meticulous attention to detail.
  • Demonstrated ability to work independently, take initiative, and problem-solve.
  • Excellent communication and customer service skills.
  • Fluency in a second language is a strong asset, but not required.
