About Us

We are a fast-paced agricultural company committed to providing exceptional service to producers, customers, and business partners. We are seeking a highly organized and detail-oriented Administrative Professional to support our accounting functions and grain trading operations. This role is ideal for someone who enjoys a variety of responsibilities and thrives in a collaborative team environment.

Position Summary

The Administrative Professional will support day-to-day accounts receivable and accounts payable data entry duties, general administrative support, and assist the Trade Team with contract administration, customer communication, and documentation. The successful candidate will play a key role in maintaining accurate records and ensuring smooth office operations.

Key Responsibilities

Accounts Receivable (AR)

  • Process customer invoices and payments accurately and timely.
  • Monitor customer accounts and follow up on outstanding balances.
  • Reconcile AR accounts and resolve discrepancies.
  • Prepare and distribute account statements as required.

Accounts Payable (AP)

  • Review, verify, and process vendor invoices.
  • Match invoices to purchase orders and supporting documents.
  • Prepare payments and maintain accurate supplier records.
  • Reconcile vendor accounts and resolve payment inquiries.

Trade Support

  • Assist Traders with contract administration and data entry.
  • Prepare, maintain, and file grain purchase and sales contracts.
  • Enter contract details into company systems with a high level of accuracy.
  • Coordinate documentation related to grain movement, deliveries, and settlements.
  • Communicate with producers, customers, trucking companies, and other stakeholders.
  • Generate reports and provide administrative support to the trading team.

General Administration

  • Answer phones and respond to email inquiries professionally.
  • Maintain paper and electronic filing systems.
  • Support office operations and contribute to a positive team environment.

Qualifications

  • Certificate, diploma, or equivalent experience in Administration, Accounting, or a related field.
  • Minimum 2 years of experience in administrative and/or accounting roles.
  • 55+WPM keyboarding (at least) higher is an asset.
  • Experience with Accounts Receivable and Accounts Payable functions.
  • Strong proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
  • Excellent organizational skills with strong attention to detail.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Strong written and verbal communication skills.
  • Experience in agriculture, grain handling, commodity merchandising, or grain trading support is considered an asset.

Preferred Skills

  • Knowledge of grain contracts, settlements, and logistics.
  • Familiarity with NewBOS.
  • Ability to work independently while collaborating effectively with a team.
  • Professional, customer-focused attitude.
