Full job description

Job Profile:

Under the direction of the Banquet Hall Manager, the Banquet Captain will be responsible and accountable for day-to-day event execution, including organizing event setup and takedown per defined client specifications, supervising vendors and caterers during the event, and providing exemplary customer service throughout the event while acting as the main point-of-contact for any client issues that may arise the day-of.

The Banquet Captain must be flexible and willing to accommodate irregular work schedules determined by event bookings, including the requirement to work evenings, overnight, weekends and/or holidays as required.

Job Responsibilities / Duties:

1. To provide day-of event oversight and guidance under the overarching direction of the Banquet Hall Manager by:

  • Arriving to each scheduled event in advance of all clients and vendors, properly unlocking and disarming the event venue, conducting a day-of inspection of the banquet facilities, and delivering pre-event briefings with vendors before scheduled event start times;
  • Ensuring banquet halls/rooms are properly set as outlined in specifications, and performing a final quality check with the client before the scheduled event start time;
  • Attending the scheduled events and acting as the main point of contact for any client or vendor issues or concerns related to event execution and intervening to resolve any problems that may arise during the event;
  • Assisting in the supervision, performance management, and day-of-event training of the part-time casual event helpers (servers, bartenders, coat-check) and/or vendors as required, under the ultimate direction of the Banquet Hall Manager;
  • Enforcing that events are executed in a timely manner and consistently in accordance with applicable booking specifications and purchased event packages, in adherence to platinum-level service standards;
  • Ensuring that organization and cleanliness of back-of-house areas are properly maintained;
  • Ensuring correct use of point-of-sale (POS) terminals by appropriate event staff, and ensuring the recording of sales is carried out in accordance with approved financial procedures and that proper documentation is provided to the accounting department immediately after the event end;
  • Completing consumption reports and bar inventory sheets immediately at the end of each event and providing this documentation to the Banquet Hall Manager for review;
  • Performing a final facility inspection at the end of each event, informing the Banquet Hall Manager of any site damage, and ensuring all facility doors are properly closed, locked and the alarm is set before departing the facility.

2. To assist with the logistical coordination and advanced preparation of scheduled events on an as needed basis by:

  • Being present to accept advanced deliveries pertaining to upcoming events;
  • Being present for scheduled vendor drop off (pre-event) and pickup (post-event) of their event items such as caterers’ dishes, linens, flower arrangements, etc.
  • Assisting with venue pre-setup such as putting out tables or chairs, putting tablecloths on tables, etc.

3. Other job duties and special projects as may be assigned by the Business Manager, Assistant Business Manager, Banquet Hall Manager and/or the Human Resources Department.

Job Requirements:

  • A Post-Secondary education in Hospitality, Event Planning, or similar;
  • Industry related certifications would be considered an asset, such as a certification in Event Management;
  • Experience in or knowledge of event A/V would be considered a strong asset;
  • Hands-on experience within the event field, specifically involving day-of-event oversight and execution preferably withing a banquet facility;
  • Strong interpersonal skills and relationship building with experience interacting with event clients and guests and a proven ability in conflict resolution and active listening;
  • Self-starter with the ability to multi-task multiple concurrent events, projects and tasks;
  • Protection of information and maintaining confidentiality is paramount;
  • Must demonstrate a high standard of professional conduct, ethics and reliability;
  • Initiative to solve problems and a proven ability to meet deadlines in a high-volume work environment while working effectively under tight deadline situations;
  • Strives to grow professionally and keeps alert to current practices concerning the industry;
  • Copes successfully with on the job demands and maintains personal composure in stressful situations;
  • Above average computer skills including proficiency in the use of Microsoft Office applications, banquet software such as Caterese, and POS systems;
  • Must have a valid driver’s license and regular access to a vehicle;
  • Smart serve certified and/or able to obtain and maintain smart serve certification;
  • Must be available to work irregular shifts based on event bookings inclusive of weekends, evenings, overnight, and/or holidays as needed.

Working Conditions:

  • Fast-paced, high-volume environment;
  • Manual dexterity required to operate computer and peripherals;
  • This is an onsite position with no option to work remotely;
  • Variable shift schedules based on event bookings;
  • Must be able to walk extensively through the banquet facility and regularly lift, bend, twist, etc. to assist in setup and takedown activities.
