Job Title: Medical Office Assistant

Job Summary: We are seeking a Medical Office Assistant to join our healthcare practice. This is a growth position and the successful candidate will be responsible for creating and implementing effective administrative processes. The ideal candidate should possess strong communication skills, have excellent customer service skills, be organized, and have previous experience working in a healthcare clinic. Experience with MedAccess/EMR, e-fax, e-forms, online scheduling, and MSP billing is also a plus.

Roles and Responsibilities:

  • Receive, sort, and manage incoming referrals
  • Create patient electronic medical files and records
  • Communicate with patients to set up and book appointments
  • Correspond with and triage patients via telephone, email, and in-person
  • Check and respond to voicemail and emails
  • Send and receive intake forms to ensure timely responses
  • Perform data entry tasks
  • Manage EMR task management
  • Help develop/refine processes
  • Develop clinic procedural manuals and update them every 8 weeks
  • Manage patient complaints
  • Edit website and review sites
  • Schedule and maintain patient appointments
  • Receive and put patients into assessment/treatment rooms when there is a physical clinic
  • Clean and prepare exam rooms with necessary supplies and equipment required before appointments
  • Process incoming faxes, lab results, and mails appropriately
  • Sort and link them to applicable patient electronic medical records and flag them for the attention of the appropriate healthcare practitioners
  • Process requisitions and referrals
  • Process electronic medical record messages
  • Process mails, scanning, and filing
  • Organize schedules
  • Resolve issues with the referral process
  • Follow-up on MSP, ICBC, WCB, and private billing claims
  • Work with the employer on necessary administrative tasks towards the expansion and development of the clinic
  • Participate in staff, medical clinic, and other meetings as required
  • Adhere to all privacy policies and procedures

Qualifications:

  • Courteous, effective, and respectful communication skills with patients virtually and in-person
  • Ability to collaborate effectively with other administrative and clinical providers
  • Strong customer service focus and people skills
  • Good organizational and time management skills
  • Proficient computer skills and ability to troubleshoot minor IT problems
  • Proficient in English (both verbal and written)
  • Previous experience in a healthcare clinic
  • Friendly and people-oriented
  • Ability to work in a fast-paced team environment

Assets:

  • Past MedAccess EMR experience
  • Past experience with e-fax, e-forms, online scheduling, and other related automated processes
  • Knowledge of MSP billing, including addressing refusals and rejections
