The Opportunity:

The Apollo Institute of Medicine is a leading provider of comprehensive neurology and medical care to patients across the Lower Mainland and surrounding areas. As our institute continues to grow, we are expanding our administrative team and seeking a highly motivated Office Administrator to join us in our mission.

This is an exciting opportunity for a dedicated Office Administrator to become an integral part of the Apollo Institute of Medicine team. You will play a crucial role in ensuring the smooth operation of our clinic, providing essential support to our physicians and staff members, and delivering an exceptional experience for every patient. What You'll Do (Your Role):

As an Office Administrator you will be at the heart of patient care, taking on a dynamic range of responsibilities that include:

Patient Engagement: Warmly greeting and assisting patients and visitors, managing incoming calls, and creating a welcoming and efficient front office environment.

Appointment & Schedule Management: Scheduling and confirming appointments, tests, treatments, and other procedures to optimize clinic flow and patient convenience.

  • Health Information Management: Obtaining and updating patients' personal and health information, and maintaining accurate Electronic Medical Records.

Clinical Preparation & Communication: Preparing patient files for consultations, managing patient inquiries, and effectively relaying messages regarding scheduling, referrals, and prescription refills between patients and medical staff.

Financial Administration: Processing patient payments, assisting with medical insurance claims, and accurately entering payment information into our electronic billing system.

Operational Support: Proactively maintaining office supply inventory and ensuring timely replenishment to support seamless daily clinic operations.

Who You Are (Your Qualifications):

We are seeking a proactive and empathetic individual with:

Education: Minimum of a High School Diploma required.

Experience: 1 or more years of experience as an office administrator would be considered an asset.

Exceptional Organizational Skills: Proven ability to manage tasks efficiently, maintain meticulous attention to detail, and prioritize responsibilities in a fast-paced environment.

Technological Proficiency: Familiarity with technology and an adaptability to learning new software, is highly valued. More importantly, you bring an enthusiastic willingness to quickly learn and master these essential skills.

Outstanding Communication: Outstanding written and oral communication skills, ensuring clear, concise, and compassionate interactions with both the team and our patients.
