Who We Are:
Relationship Therapy Centre is a group psychotherapy practice of 20+ clinicians in Mississauga, offering individual, couple and family therapy where we support clients across the lifespan. We're known for structured, high-quality therapeutic care, and we run our internal operations with the same intention. This role is part of building the operational foundation that growth sits on!

This Role:

The Admin Lead owns the administrative floor at Relationship Therapy Centre. Winning in this role means every client interaction, intake process, and daily operational task runs accurately, warmly, and on time. You set the standard, train the team to it, catch what others miss, and become the first person our admin team turns to when something needs support.

This role has a direct line of growth as the structure above you is built.

What Winning Looks Like In This Role:

  • By 30 days: You independently run the daily operations quality audit efficiently and and accurately.
  • By 60 days: You are training and coaching our admin team members day-to-day, running their check-ins, and giving feedback that helps them grow, all with patience, humility and with commitment and passion to teach and inspire.
  • By 90 days: All operational questions come to you first. Escalations to the Clinical Director have measurably dropped because you resolve what can be resolved and route what can't with clarity and calmness.

This Role's Responsibilities Include:

  • Daily operations QA: quality assurance across our documented daily task system (including but not limited to intake, booking, billing accuracy, consent compliance, and client communications.)
  • Team training & development: training new and existing admin team members on our systems and philosophy of care; shadowing shifts; ongoing coaching and feedback; input into performance reviews.
  • Client communication standards: every client touchpoint (calls, emails, texts) aligns with our tone and turnaround standards; follow-up cadences are consistently met.
  • Scheduling & coverage: coverage planning input, shift coordination.
  • Systems & documentation upkeep: keeping our SOPs, checklists, and trackers current as decisions are made; flagging gaps before they become problems.
  • Escalation filtering: triaging what the team brings you: resolving what sits within policy, and packaging what doesn't for clinical leadership with full context.
  • Right hand to the Clinical Director: a standing weekly 1:1 where you bring the week's QA findings, team development updates, and flagged gaps and leave with decisions, which you then document and implement. As a trusted member of the leadership structure, you'll also handle sensitive administrative matters on the Clinical Director's behalf, including confidential financial administration and select operational projects.

The Non-Negotiables of This Role:

  • Experience in a regulated health setting - psychotherapy, allied health, medical, or comparable clinical environment. You understand why confidentiality, consent, and documentation standards are not optional, and you're comfortable working within PHIPA constraints from day one.
  • Genuine leadership experience - you've coached, trained, or overseen others. This role leads people; executing tasks alongside them is not enough.
  • Real tech proficiency - you learn platforms quickly and deeply. We run on platforms including Jane, Asana, and SharePoint; we are looking beyond basic computer skills.
  • Strong written communication - SOPs, client emails, and internal documentation will live in your hands. Clear, warm, precise writing matters here.
  • On-site availability - this role anchors the physical floor of the practice in Mississauga.

The Growth Path

RTC is building a deliberate operational structure, and this role is its foundation. As the centre grows, this position has a real path toward expanded operational leadership including systems ownership, people management, and client experience design. We are transparent about where we're headed, and the right person will help build it.

Pay: $45,000.00-$52,000.00 per year
