About the Role
At Mid-Main Community Health Centre, we believe the Medical Office Assistants are the glue that holds our interprofessional primary care team together. This role blends administrative expertise, creative problem-solving, and excellent relationship-building skills to create a seamless and supportive experience for patients and providers alike.
We’re looking for someone who thrives in a fast-paced environment, loves finding solutions, and understands that a well-run clinic means better care for everyone. If you have an eye for detail, a heart for service, and the ability to make even the busiest days feel effortless—let’s talk.
We are in need of a MOA to work minimum 4 days a week (28 hours) between Monday and Friday with the potential to increase to 5 days a week or opportunities to pick-up additional shift(s) each week. We are in looking for someone who has flexible hours and can work closing shifts on Tuesdays 12:30pm-8:00pm and Wednesdays 11:00am-6:30pm, and shifts within our clinic hours of 8am-5:30pm on Mondays, Thursdays, and Fridays.

Our integrated services including a medical clinic, dental care, pharmacy and parent support program, ensure that people get the care they need, all under one roof. The Opportunity
The MOA is a vital member of the interprofessional healthcare team, serving as the first point of contact for clients and ensuring seamless clinic operations. This role goes beyond traditional administrative tasks, it's about:

The MOA plays a key role in enhancing the client experience, supporting team collaboration, and contributing to the overall effectiveness of the clinic.
Key responsibilities:
-
Be the welcoming face and voice of Mid-Main—ensuring every client interaction is warm, respectful, and person-centered.
-
Support clients in navigating healthcare services, coordinating appointments, referrals, and follow-ups.
-
Track and coordinate chronic disease management follow-ups, preventative screenings, and ongoing care plans to ensure clients stay on top of their health needs.

Proactively identify and remove barriers to care, connecting clients with the right supports.
-
Foster clear communication between clients and providers, ensuring timely follow-ups and seamless coordination.

Manage and optimize provider schedules to keep the clinic running smoothly.
-
Act as the key link between clinical and administrative teams, facilitating smooth communication and problem-solving.

Maintain accurate electronic medical records (EMR), scheduling, and documentation with high attention to detail.

Support chronic disease management tracking by ensuring follow-ups, recalls and preventative screens (e.g., diabetes care, hypertension monitoring, cancer screenings) are completed and documented.

Process referrals, medical documents, and billing with efficiency and accuracy.

Participate in/ support clinic safety, infection control and wellness efforts.

Assist with onboarding new team members and integrate them into clinic workflows.

Contribute to a culture of continuous learning and improvement by participating in team discussions, bringing forward insights, and supporting quality improvement activities.
What You Bring to the Table:

Previous experience in healthcare administration, primary care, or community health.

Strong interpersonal and communication skills—you build relationships effortlessly.

Tech-savvy—comfortable with EMR systems (particularly OSCAR) and scheduling tools (an asset).

Ability to work in a fast-paced team environment.

A problem-solver with the ability to think on your feet and adapt in a dynamic clinic setting.
