Job Overview
The Dental Patient Coordinator/Receptionist is the first point of contact for patients and plays a critical role in delivering an exceptional patient experience. This position is responsible for managing front desk operations, coordinating appointments, supporting treatment planning communication, and ensuring efficient administrative workflows.

The ideal candidate is organized, personable, detail-oriented, and capable of multitasking in a fast-paced dental environment.

Key Responsibilities1. Patient Experience & Front Desk Operations

  • Greet and welcome patients in a professional and friendly manner
  • Manage patient check-in and check-out processes efficiently
  • Answer phone calls, emails, and inquiries promptly and courteously
  • Ensure a positive and seamless patient experience from arrival to departure

2. Scheduling & Appointment Coordination

  • Schedule, confirm, and adjust patient appointments to optimize provider schedules
  • Manage cancellations, no-shows, and short-notice openings
  • Coordinate hygiene recall and reappointment systems
  • Ensure priority treatments are scheduled appropriately

3. Treatment Coordination Support

  • Assist in presenting treatment plans and explaining next steps to patients
  • Review insurance coverage and provide accurate estimates
  • Support follow-ups on pending and unscheduled treatment
  • Help improve case acceptance through clear and confident communication

4. Billing, Payments & Insurance

  • Process patient payments and maintain accurate financial records
  • Submit and track insurance claims
  • Follow up on outstanding insurance and patient balances
  • Verify insurance eligibility and benefits prior to appointments

5. Administrative & Office Support

  • Maintain accurate patient records and documentation
  • Ensure compliance with clinic policies and privacy regulations
  • Coordinate communication between clinical team and patients
  • Assist with reports, daily reconciliations, and administrative tasks

6. Communication & Team Collaboration

  • Work closely with dentists, hygienists, and assistants to ensure smooth workflow
  • Relay important patient information to the clinical team
  • Support a positive, professional, and team-oriented environment

Qualifications & Requirements

  • Previous experience in a dental office or healthcare setting preferred
  • Knowledge of dental terminology, procedures, and insurance processes is an asset
  • Proficiency in dental software (e.g., Tracker, Dentrix, Abeldent, etc.) preferred
  • Strong communication and customer service skills
  • Excellent organizational and multitasking abilities
  • Attention to detail and accuracy
