About Us We are a busy and welcoming physiotherapy, massage, and chiropractic clinic dedicated to providing exceptional client care and a supportive team environment. Our multidisciplinary health team values compassion, organization, and teamwork — and we're looking for a Part-Time MOA / Patient Experience Coordinator to be the friendly face of our clinic.

Job Summary The receptionist plays a key role in ensuring the clinic runs smoothly and efficiently. This position involves front desk reception, scheduling, billing and insurance coordination, as well as general administrative support. The ideal candidate is friendly, detail-oriented, and thrives in a fast-paced healthcare environment.

Key Responsibilities

  • Greet and check in clients warmly, providing a professional and welcoming first impression.
  • Answer phones and emails promptly; manage appointment bookings and inquiries with courtesy and accuracy.
  • Schedule and manage appointments using JaneApp, coordinating practitioner schedules for maximum efficiency.
  • Process and manage billing and claims submissions to third-party insurers (Manulife, Sun Life, Pacific Blue Cross, etc.), as well as ICBC and WorkSafeBC.
  • Verify insurance coverage, handle payment collection, and reconcile transactions accurately.
  • Maintain accurate client, appointment, and billing records in JaneApp and other clinic systems.
  • Provide exceptional customer service, ensuring smooth appointment experiences and promptly addressing client questions or concerns.
  • Maintain a clean, organized, and welcoming clinic, reception, and gym space.
  • Monitor inventory and supplies, and manage laundry (sheets and towels).
  • Assist in creating and maintaining Standard Operating Procedures (SOPs) and contribute to developing a comprehensive administrative workflow manual to improve clinic consistency and efficiency.

Qualifications & Skills

  • Previous experience as a receptionist, administrative assistant, or office coordinator, ideally in a medical, physiotherapy, or chiropractic clinic.
  • Experience with insurance billing and claims (ICBC, WorkSafeBC, extended health providers) preferred.
  • Proficient in JaneApp, Microsoft Office Suite, and Google Workspace (Docs, Sheets, Gmail, Calendar).
  • Excellent communication, customer service, and interpersonal skills.
  • Strong computer skills and ability to learn new software quickly.
  • Highly organized with strong attention to detail and accuracy.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Typing proficiency required.
  • Fluency in a second language is a strong asset and highly valued.
