The First Glance Aesthetic Clinic & Surgery Centre is a leader in medical aesthetics with a vision to provide the highest level of client care. We are a team of dedicated professionals who are passionate about elevating each patient’s natural beauty.

We are hiring a full-time Medical Office Assistant. Your primary role will be to assist the surgical coordinators. The individual will elevate the client experience by upholding our standards of insuring efficient and exceptional service and supporting team members.

As the Medical Office Assistant, you have a true passion for people and aesthetics. Reporting to the Operations Manager, you will be highly organized, have excellent phone etiquette impeccable, in appearance, professional in demeanor, and are a self-starter. You are outgoing and extremely client oriented with a keen interest in building client relationships. You will be working as part of a team in a fast-paced and dynamic environment. You must be reliable, detail-oriented, a team player, great communicator and eager to learn.

Role Overview and Opportunities:

  • Receive all incoming calls and initiate outgoing calls in relation to the cosmetic and surgical services.
  • Deliver quality client service through all interactions, including phone, online or in person, with a focus on building lasting relationships.
  • Actively assess client needs, and make and provide informed recommendations for cosmetic, medical, and surgical procedures.
  • Educate and provide solutions through treatment and product solutions.
  • Collaborating with team members in attaining goals.
  • Manage all aspects of booking client care.
  • Ensure efficient and timely schedule of the clinic and manage client expectations.
  • Manage referrals from other offices.
  • Process and follow up on payments, collecting payments for minor surgery and performing end of day closing duties.
  • Provide coverage in reception area when needed.
  • Participate in education events and training opportunities for development.
  • Administrative tasks, as required.
  • Other duties as required.

Qualifications and Success Factors:

  • Medical Office Assistant certificate.
  • Experience working in a call center or other busy phone center.
  • Proven ability to establish rapport and build relationships via phones.
  • Exceptional ability to manage time efficiently and manage multiple tasks.
  • Excellent verbal and written communication skills - particularly an exceptional phone manner.
  • Proven initiative and solution-oriented mind-set.
  • Fluent in scheduling software. Basic understanding of Word and Excel would be an asset.
  • Exceptional interpersonal skills and ability to engage with all clients.
