Medical Office Administrator (MOA) for New Surgical Practice

Dr. Cale E. Leeson, MD

Join Our Team

Dr. Cale Leeson is seeking a highly organized, compassionate, and motivated Medical Office Administrator to join a new urology practice in Fredericton, New Brunswick.

This is a unique opportunity to become a foundational member of a fast-paced, new specialty surgical practice. We are committed to providing timely, professional, and patient-centred care while fostering a positive and respectful work environment.

We are looking for an individual who enjoys working with patients, thrives in a healthcare setting, and takes pride in helping a practice run efficiently and smoothly.

Position Details

  • Position: Permanent Full-Time Medical Office Administrator
  • Location: Fredericton, New Brunswick
  • Hours: Guaranteed 40 hours per week
  • Compensation: $25–30 per hour (negotiable), based on qualifications and experience. We will also provide annual performance review with potential for salary increases.
  • Schedule: The MOA position requires availability to work on-site from Monday to Friday during regular office hours (no evenings, weekends, or statutory holidays). Daily scheduling may vary based on clinic operations, physician availability, and patient care requirements.
  • Start Date: Anticipated August 4, 2026 (flexible)
  • Probationary Period: A three-month probationary period applies to this position.

Responsibilities

  • Greeting and registering patients in a professional, welcoming, and compassionate manner
  • Managing patient appointments, physician schedules, and appointment reminders
  • Receiving, organizing, and triaging referrals from physicians and healthcare providers
  • Coordinating referrals, diagnostic investigations, consultations, and follow-up appointments
  • Maintaining and regularly updating surgical waitlists, coordinating operating room bookings, and working collaboratively with the physician to prioritize cases and optimize operating room utilization
  • Reviewing referrals and ensuring all required investigations, reports, and documentation are available prior to patient appointments
  • Communicating with patients regarding appointments, procedures, and test results
  • Answering telephone inquiries professionally and compassionately
  • Managing incoming and outgoing correspondence, including electronic faxing
  • Maintaining accurate patient records within the electronic medical record system
  • Assisting with physician billing and administrative documentation
  • Preparing clinic materials and supporting clinic workflow
  • Ordering office supplies and maintaining inventory
  • Comfortable troubleshooting routine office technology issues
  • Maintaining strict patient confidentiality and privacy standards
  • Contributing to ongoing process improvement and office organization initiatives
  • Performing other administrative duties as required

Qualifications

  • Medical Office Administration diploma or equivalent education/experience
  • Exceptional organizational and time-management skills
  • Strong interpersonal and communication abilities
  • Excellent attention to detail
  • Professionalism, compassion, and discretion
  • Ability to multitask and prioritize effectively in a busy clinical environment
  • Strong computer literacy and proficiency with Microsoft Office applications
  • Ability to work independently and take initiative while functioning as part of a team

Preferred Qualifications

  • Previous experience working in a specialist or physician office
  • Familiarity with medical terminology
  • Experience with physician billing processes
  • Experience using electronic medical records (EMR)
  • Experience managing referrals and specialist consultations is considered a strong asset
  • Experience with the Intrahealth EMR platform is considered an asset
  • Familiarity with the New Brunswick healthcare system is considered an asset
  • Proficiency in French is considered an asset
