Dr Bishop & Associates is a multi-location optometry practice serving Calgary patients across four clinics. We are looking for a detail-oriented Medical Billing & EMR Specialist to help oversee the accuracy of our billing, Alberta Health claims, invoicing, reconciliation, and EMR workflows. Our clinics use Visual Eyes practice-management and EMR software. Experience with Visual Eyes along with optometric and/or optical experience is strongly preferred.

This is not simply a data-entry or billing-clerk position.

We are looking for someone who can identify billing and invoicing problems, investigate why they occurred, correct them, and help improve the underlying process so the same errors do not continue happening.

What You'll Be Responsible For

Alberta Health Billing

• Review and process Alberta Health Care Insurance Plan (AHCIP) claims.
• Monitor rejected, returned, unpaid, or outstanding claims and investigate discrepancies.
• Correct and resubmit claims when appropriate.
• Help ensure billing is consistent with current Alberta Health billing requirements and optometric billing rules.
• Monitor changes to Alberta Health billing requirements and communicate relevant changes internally.
• Identify recurring billing issues and recommend workflow improvements.

Billing, Invoicing & Revenue Reconciliation

• Review patient and third-party invoices for accuracy and completeness.
• Identify missed charges, incorrect charges, duplicate charges, unusual adjustments, and other billing discrepancies.
• Reconcile payments and claims against expected amounts.
• Private insurance and direct-bill claims processing and reconciliation
• Investigate discrepancies between services provided, invoices generated, payments received, and outstanding balances.
• Review billing and adjustment trends across our locations.
• Help identify areas of revenue leakage or preventable billing error.
• Produce clear reports and summaries for management when recurring issues are identified.

Visual Eyes / EMR Support

• Become an internal resource for billing and administrative workflows within Visual Eyes.
• Help standardize billing and invoicing processes across our four clinics.
• Visual Eyes practice management system administration: user access, templates, data integrity checks, and reporting
• Troubleshoot billing-related EMR issues.
• Work with Visual Eyes support when system assistance is required.
• Help improve reports, workflows, templates, and processes within the system.
• Support accurate and consistent use of the EMR across locations.

Process Improvement & Staff Support

• Identify the root cause of recurring billing problems rather than simply correcting individual errors.
• Develop and maintain clear billing procedures and documentation.
• Provide education and support to administrative staff when billing or workflow issues are identified.
• Help create consistent processes across multiple clinic locations.
• Recommend practical improvements that reduce errors, improve efficiency, and strengthen billing accuracy.

What We're Looking For

We are most interested in candidates who combine strong attention to detail with problem-solving ability.

Strong Candidates Will Have:

• Experience with Alberta healthcare billing, medical billing, or similar claims processing.
• Experience working with an EMR or medical practice-management system.
• Strong reconciliation and auditing skills.
• Excellent attention to detail.
• The ability to investigate discrepancies and determine their underlying cause.
• Strong organizational and follow-up skills.
• Confidence working with spreadsheets, reports, and financial information.
• The ability to communicate clearly with administrative staff, doctors, management, and software support teams.
• Good judgment when handling confidential patient and financial information.

Must Have:

• Experience with Visual Eyes.
• Previous experience with Alberta Health/AHCIP, eye exams, contact lens, optical and insurance billing.
• Previous experience in optometry, ophthalmology, medical clinics, or another regulated healthcare environment.
• Experience auditing billing or identifying revenue discrepancies.
• Experience training staff or improving administrative workflows.
