Job Overview
Position Summary

The Clinical Assistant/IMG will work closely with the cardiologist and clinical team to ensure smooth workflow, accurate test preparation, patient comfort, and adherence to clinical standards. Ideal for an IMG looking for Canadian clinical experience or someone interested in cardiology and healthcare operations.

Key Roles and Responsibilities

Patient Care & Workflow Support

  • Greet and prepare patients for diagnostic tests (ECG, Holter, ABPM, Stress Echo, Echo).
  • Record patient history, medications, symptoms, and relevant clinical information.
  • Assist in patient education regarding test procedures and follow-up instructions.
  • Ensure patient safety, privacy, and comfort throughout the visit.

Diagnostic Test Assistance

  • Prepare ECG leads and assist in ECG acquisition.
  • Apply and remove Holter monitors, ABPM devices, and ensure correct usage instructions.
  • Assist sonographers/technicians during Echo and Stress Echo procedures when required.
  • Label, upload, and organize diagnostic reports in the EMR system.

Administrative Duties

  • Manage appointments, referrals, and patient flow to reduce wait times.
  • Maintain accurate and complete patient files and documentation.
  • Coordinate communication between patients, technicians, and the cardiologist.
  • Handle phone calls, emails, and test result updates as directed.

Clinical Operations & Quality Control

  • Maintain cleanliness and readiness of testing rooms and equipment.
  • Follow infection control, sterilization, and safety guidelines.
  • Monitor and restock clinic supplies.
  • Assist with clinic audits, accreditation requirements, and quality improvement tasks.

Appointment Scheduling & Calendar Management

  • Schedule and confirm patient appointments.
  • Coordinate physician and technician schedules.
  • Manage last-minute changes, cancellations, and urgent bookings.
  • Prevent double-booking and optimize daily workflow.
  • Send appointment reminders via phone, email, or SMS.

Patient Communication

  • Answer phone calls, emails, and messages professionally.
  • Provide information on clinic services, procedures, and preparation instructions.
  • Communicate test results, if authorized.
  • Handle patient concerns, complaints, or questions.
  • Follow-up with patients for missing documentation or upcoming tests.

Medical Records Management

  • Create and update patient charts.
  • Scan, upload, and maintain digital records in EMR (Electronic Medical Records) systems.
  • Ensure accurate and timely documentation.
  • Process referral letters from physicians.
  • Transfer records safely following privacy rules.

Coordination With Clinicians & Technicians

  • Prepare patient charts for the doctor or technician.
  • Inform staff of patient arrivals or delays.
  • Communicate special instructions (e.g., fasting for tests).
  • Prepare exam rooms if needed.
  • Ensure smooth workflow between departments.

Clinic Administration & Office Duties

  • Manage mail, faxes, and document flow.
  • Keep the reception and office areas clean and organized.
  • Operate standard office equipment (fax, copier, scanner, phone systems).
  • Assist with clinic reports, forms, and letters.

Compliance & Professional Standards

  • Follow PHIPA, privacy, and confidentiality laws.
  • Follow infection prevention and control guidelines.
  • Ensure safety protocols are followed at all times.
  • Maintain professional conduct and patient-centred care.

Professional Behaviour & Customer Service

  • Show empathy and patience with all patients.
  • De-escalate stressful situations calmly.
  • Create a welcoming, supportive patient environment.
  • Represent the clinic with professionalism and integrity.
  • Check-in and check-out of patients.
  • Verify patient identity, health card details, and insurance information.
  • Manage waiting room flow to ensure smooth clinic operations.
  • Maintain patient confidentiality and follow privacy regulations (PHIPA).

Qualifications

  • International Medical Graduate (IMG) or Clinical Assistant experience preferred.
  • Background or basic understanding of cardiovascular system and diagnostic tests.
  • Strong communication, interpersonal, and patient-care skills.
  • Ability to multitask, work in fast-paced environment, and follow protocols.
  • Proficiency with computers, EMR systems, and medical documentation.
  • Greet patients warmly and professionally.

Preferred Skills

  • Experience with ECG/Holter/ABPM is an asset (training provided).
  • Basic life support (BLS/CPR) certification preferred.
  • Basic Understanding of EMR's (Oscar, Avaros, PSsuite etc).
  • Ability to speak additional languages (e.g., Hindi, Urdu, Punjabi) is an advantage.
