Job Overview
We are a physician-led ophthalmology and oculoplastic clinic providing both insured (OHIP) and private care in a calm, professional, boutique-style environment. Our foundation is ophthalmology and surgical care, with expanding physician-directed programs in cosmetic procedures, medical aesthetics, functional medicine, and laser-based treatments.

Our team prioritizes thoughtful, patient-centered care, clear communication, and a well-organized clinical experience. We are seeking a reliable Clinical & Administrative Assistant to join our team in a part-time, casual role.

This position is ideal for someone who enjoys a hybrid role, is comfortable supporting both administrative and clinical workflows, and is interested in working across multiple physician-led programs. While prior exposure to ophthalmology, surgical clinics, or medical aesthetics is an asset, comprehensive training is provided.

Responsibilities

  • Support patients throughout their visit with professionalism and care
  • Assist with clinic flow by rooming patients and supporting physicians and nursing staff
  • Communicate clearly and respectfully with patients before, during, and after appointments
  • Assist during minor in-office procedures across ophthalmology, oculoplastics, and cosmetic services within established scope (non-injecting)
  • Prepare, reset, and maintain exam, procedure, and treatment rooms
  • Perform basic visual acuity testing and vitals as required
  • Support administrative tasks related to patient flow, scheduling coordination, and documentation
  • Maintain accurate records within OSCAR EMR
  • Clean, reprocess, and restock instruments and equipment according to clinic protocols
  • Maintain a clean, organized, and professional clinical environment
  • Identify questions or concerns that require escalation to senior staff or physicians

Scope of Practice – Exclusions:

This role does not include:

  • Injecting or administering medications
  • Independent clinical assessments or medical decision-making
  • Advanced diagnostic testing or technician-level procedures
  • Obtaining consent outside established protocols

  • Candidates with experience in medical, surgical, ophthalmic, or physician-led aesthetic settings
  • International medical graduates (pre-licensure)
