This is a casual position. Applicants must be available both Saturday and Sunday.
Job Summary
The Staffing Clerk adds to the quality of life of people who live at Mount St. Mary Hospital by scheduling resident care staff to fill vacancies, processing leave requests, transferring schedules to payroll and performing other related clerical functions.
Major Responsibilities
1. Accepts calls from staff regarding illness and absence from work. Receives requests for relief coverage from resident care units.
2. Allocates and calls in staff to fill vacancies resulting from unfilled positions, vacations, leaves of absence and sick leaves in accordance with applicable collective agreements; distributes relief staff schedules to resident care units. Maintains casual staff booking system.
3. Receives and processes requests such as vacation, leaves of absence and terminations by preparing appropriate documentation, confirming information such as seniority and vacation entitlements and forwarding to appropriate authority for approval.
4. Updates schedules and rotations, making adjustments and/or changes for approved absences and communicates changes and refers problems/difficulties to Director, Resident Care.
5. Maintains computerized scheduling records for staff. Processes exceptions, and transfers to payroll via data entry. Responds to employee enquiries by liaising with payroll and making adjustments as required.
6. Processes staff transfers by making necessary changes to the schedule such as days off, stats, etc. and notifying employee. Creates posting requests for review and approval by the Director.
7. Maintains records on assigned staff such as names, addresses, phone numbers, availability for work, suitable work area and hours worked.
8. Maintains records such as statutory holidays and vacations taken and staff attendance; forwards appropriate forms to Director for completion and follow up as required.
9. Maintains a safe, secure environment for residents and staff by immediately reporting unsafe hazardous conditions and suspected resident abuse. Takes immediate action, as appropriate, to reduce/eliminate recognized safety risks and documents the incident/unusual occurrence following established procedures.
10. Performs other related duties as assigned.
Education, Training and Experience:
- Grade 12 plus three (3) years’ recent, related experience or an equivalent combination of education, training and experience.
- Scheduling experience an asset
- Computer courses in excel, outlook an asset, typing.
Skills and Abilities:
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to organize work.
- Ability to operate related equipment.
- Ability to operate computers
