Full job description

Form & Function Clinic is a multidisciplinary healthcare clinic committed to providing exceptional patient care through a collaborative and patient-centered approach. We are seeking organized, personable, and dependable Medical Administrative Assistants to join our growing team.

We are currently hiring for:

  • 1 Full-Time Medical Administrative Assistant (approximately 35 hours/week) – Starting September 2026
  • 1 Part-Time Medical Administrative Assistant (approximately 10–15 hours/week) – Starting November 2026

This role is ideal for an individual who thrives in a fast-paced healthcare environment, enjoys interacting with patients, and takes pride in delivering outstanding customer service while supporting efficient clinic operations.

Key Responsibilities

  • Welcome patients and provide a professional, friendly, and efficient front desk experience
  • Manage incoming phone calls, emails, and patient inquiries
  • Schedule, confirm, reschedule, and coordinate appointments for multiple healthcare practitioners
  • Optimize practitioner schedules and assist with daily clinic flow
  • Register patients, process payments, and complete patient check-in and check-out procedures
  • Verify extended health insurance coverage and process direct billing claims
  • Prepare, submit, and monitor Motor Vehicle Accident (MVA) billing, including HCAI invoices, treatment plans, and related insurance documentation
  • Communicate with insurance adjusters, legal representatives, healthcare providers, and patients regarding claim status and required documentation
  • Coordinate patient recalls, follow-up appointments, and ongoing treatment schedules
  • Maintain accurate and confidential electronic medical records
  • Utilize Jane App, HCAI, and other clinic software for scheduling, billing, and administrative functions
  • Assist with administrative projects, patient communications, and light marketing initiatives as required
  • Collaborate closely with practitioners and administrative staff to support efficient clinic operations

Qualifications

The successful candidate will possess:

  • Exceptional customer service and interpersonal skills
  • Strong verbal and written communication abilities
  • Excellent organizational skills and attention to detail
  • The ability to prioritize tasks and manage multiple responsibilities in a busy environment
  • A professional, positive, and team-oriented attitude
  • Strong computer proficiency and the ability to learn new software quickly
  • The ability to work independently while contributing effectively within a team

Preferred Experience

Preference will be given to candidates with experience in one or more of the following:

  • Medical office administration
  • Chiropractic, physiotherapy, massage therapy, rehabilitation, or other allied health clinics
  • Appointment scheduling and patient coordination
  • Extended health insurance verification and direct billing
  • Motor Vehicle Accident (MVA) administration and HCAI billing
  • Jane App or other electronic medical record (EMR) systems
  • Medical terminology

Mandarin or Cantonese language skills are considered a strong asset due to our diverse patient population.

Schedule Full-Time Position

  • Approximately 35 hours per week
  • Primarily weekday daytime and afternoon/evening shifts (up to 8:00 PM)
  • Occasional weekend coverage as required

Part-Time Position

  • Approximately 10–15 hours per week
  • Flexible availability for weekday daytime and afternoon/evening shifts (up to 8:00 PM)
  • Weekend availability is required:
  • Saturdays: 9:00 AM–2:00 PM
  • Sundays: 10:00 AM–2:00 PM

Additional hours may be available to provide vacation, sick leave, and operational coverage.
