Position Overview:

The Events Coordinator is responsible for the planning and execution of consumer events and activations, ensuring the brand’s physical presence is delivered with precision, aesthetic excellence, and consistency. This role focuses on creating meaningful direct-to-consumer (DTC) experiences while supporting broader marketing initiatives.

Equal parts creative and strategic, the Events Coordinator collaborates closely with the Events Team and cross-functional partners, working independently in a highly collaborative environment to drive impactful, loyalty-building experiences that enhance brand visibility and consumer connection.

Key Responsibilities:

Event Logistics and Operational Execution

  • Coordinate end-to-end logistics and manage a diverse calendar of events, including brand-hosted events, community pop-ups, and large-scale external consumer activations
  • Adjust brand activations creatively to resonate with the specific target audience of each event, ensuring meaningful engagement and a tailored brand experience
  • Manage venue selection, site walkthroughs, and floor plan layouts to ensure optimal consumer flow and engagement
  • Oversee shipping, receiving, and on-site set-up of all event infrastructure, including booths, signage, and technical equipment
  • Prepare for activations by packing products, marketing materials, booth displays, and other essential items to ensure seamless execution
  • Develop contingency plans and backup strategies for event activations to address unforeseen challenges
  • Act as the primary on-site point of contact for external vendors and internal staff during execution, resolving real-time operational challenges
  • Prioritize consumer needs by offering informed, prompt, and professional guidance, combining product education with responsive support

Cross-Functional Collaboration and Support

  • Serve as the point of contact for event organizers when participating as a vendor, ensuring all insurance, power, and space requirements are met
  • Collaborate with Social Media and Email teams to ensure events are well promoted and deliver a cohesive brand experience
  • Work with internal teams to leverage activations in support of broader integrated marketing campaigns
  • Partner with creative teams to ensure all on-site materials and displays align with brand guidelines
  • Synthesize post-event feedback and logistical post-mortems to identify efficiencies and improvements for future activations

Qualifications

  • Bachelor’s degree or diploma in Marketing, Event Management, Hospitality, or related field, or equivalent professional experience
  • 2+ years of hands-on experience in event coordination, with experience executing both brand-hosted activations and vendor-based events
  • Strong experience in logistics for DTC marketing events
  • Background or interest in holistic nutrition is considered an asset

  • Exceptional organizational skills with strong attention to detail and ability to manage complex timelines and schedules
  • Strong critical thinking and proactive problem-solving skills in fast-paced, high-pressure environments
  • Effective cross-functional collaborator and team player
  • Strong understanding of direct-to-consumer (DTC) marketing and translating brand strategies into consumer-facing experiences
  • Excellent verbal and written communication skills
  • Familiarity with project management software
  • Willingness and ability to travel across Canada for events
  • Must have access to a personal vehicle and be willing to use it for occasional transportation related to events

Schedule

  • Monday to Friday
  • Work Location: North York Hybrid - 4 days on site

Job Type: Full-time, 18-month contract
