Full job description

Position Summary
The Payroll Coordinator supports the accurate and timely processing of payroll for hotel employees. This role maintains payroll records, audits timekeeping data, and ensures compliance with employment standards and hotel policies.

Key Responsibilities

  • Process bi-weekly or semi-monthly payroll, ensuring accuracy and confidentiality.
  • Verify employee hours, wages, overtime, statutory deductions, and vacation accruals.
  • Maintain employee payroll files, pay adjustments, and status changes.
  • Audit timeclock entries and follow up with department leaders on inaccuracies.
  • Prepare payroll reports for Finance and HR as required.
  • Respond to employee inquiries regarding pay, tax forms, deductions, and benefits.
  • Ensure compliance with provincial/federal employment laws and internal controls.
  • Assist with year-end processes including T4s and reconciliations.
  • Support HR and Finance with administrative tasks as needed.

Accounts Payable

  • Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices
  • Reconcile processed work by verifying entries and comparing system reports to balances
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries
  • Enter EFT payments to vendors/suppliers and issue cheques
  • Maintain accounting ledgers by verifying and posting account transactions
  • Resolve purchase order, contract, invoice, or payment discrepancies and documents
  • Verifies vendor accounts by reconciling monthly statements and related transactions
  • Prepare bank deposits and post corresponding journal entries
  • Disburse petty cash by recording entry and verifying documentation
  • Petty Cash and Tips distribution for staff
  • Cash Balancing and stock of change for staff
  • File audit bags and verify content for records

Qualifications

  • 3+ years payroll experience, preferably in hospitality.
  • Knowledge of payroll systems (ADP, UKG, Payworks, etc.) and timekeeping software.
  • Understanding of provincial employment/labour standards.
  • Strong numerical accuracy, discretion, and attention to detail.
  • Excellent communication and customer service skills.
