ABOUT THE ROLE

Reporting to the Manager Financial Services and under the technical direction of the Payroll Coordinator, the Payroll Assistant works closely with other Finance and Human Resources staff to support the payroll system and process for St. Joseph's Care Group.

Key Responsibilities include the following:

  • Reviews time reports and processes payroll adjustments, including payments for missed time, retroactive payments, pay stubs, and bi-weekly remittances.

  • Prepares contract settlement payments and other retroactive payments, as required.

  • Responds to payroll-related inquiries and prepares Employment Insurance audit forms and Records of Employment.

  • Completes monthly benefit reconciliations, prepares benefit-billing schedules, and enters benefit charges and payments into the payroll/HRIS system.

  • Tracks preapproved payments and supports Accounts Receivable activities by preparing monthly statements, issuing invoices, reconciling aged trial balances, and following up on outstanding accounts.

  • Organizes payroll records for secure storage and provides vacation relief for the Payroll Coordinator.

WHAT YOU BRING

Education/Experience:

  • Post-secondary education in business administration with a concentration in Human Resources, Accounting, Payroll, or a related discipline
  • Experience using an human resources information system
  • Knowledge of / experience with relevant legislation and regulations relating to payroll and remittances

Skills/Abilities:

  • Ability to communicate effectively and concisely both orally and in writing
  • Ability to establish and maintain effective working relationships
  • Demonstrated accuracy organizational skills problem-solving and multi-tasking skills
  • Ability to work as a team member as well as independently
  • Ability to use independent judgment and maintain confidentiality of records actions and information
  • Must be at a basic level in word processing an intermediate level in spreadsheet software
  • Must be proficient in data entry
  • Demonstrated regular attendance at work

Asset:

  • Completion of Canadian Payroll Certificate is an asset
  • Familiarity with Virtuo HRIS and Crystal Report Writer is an asset

Conditions of Employment:

  • This position shall be conditional upon a satisfactory Criminal Record & Judicial Matters Check (CRJMC) where indicated, to ensure the absence of relevant criminal convictions.
