FULL-TIME EXECUTIVE ADMINISTRATIVE ASSISTANT

37.5 Hours per Week (7.5 Hours per Day)

CUPE Local 30 is seeking a full-time, highly organized and motivated qualified Administrative Assistant to support the day-to-day operations of the Local and provide confidential administrative support to the Executive Board, Committees, Staff, and Membership.

This is a key position requiring a self-starter who thrives in a fast-paced environment, demonstrates sound judgment, and can effectively manage multiple priorities while maintaining strict confidentiality. The successful candidate will play a vital role in supporting the union's commitment to serving and advocating for its members.

Key Responsibilities

The successful candidate will be responsible for:

· Providing high-level administrative support to the Executive Board and Committees.

· Managing confidential correspondence, records, and member information.

· Preparing agendas, reports, presentations, letters, newsletters, and other communications.

· Recording and transcribing accurate meeting minutes.

· Coordinating meetings, events, training sessions, and membership activities.

· Maintaining and updating the Local's website and electronic communication platforms.

· Managing databases, digital filing systems, and membership records.

· Responding to member inquiries in a professional and timely manner.

· Assisting with office operations, procedures, and administrative projects.

· Supporting financial and office administration functions.

· Prioritizing competing demands while consistently meeting deadlines.

Qualifications and Experience

The ideal candidate will possess:

· A minimum of three (3) years of progressively responsible administrative experience, preferably in a union, non-profit, advocacy, or public sector environment.

· Post-secondary education in Office Administration, Business Administration, or a related field.

· Excellent knowledge of office management principles and modern administrative practices.

· Knowledge of trade union structures and practices is considered a strong asset.

· Extensive experience preparing meeting agendas, recording minutes, and maintaining official records.

· Experience updating and maintaining websites and online communication tools.

Advanced computer skills and proficiency in:

· Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

· Google Workspace (Docs, Sheets, Drive, Meet, Forms)

· Database and records management systems

· Virtual meeting platforms and online collaboration tools

· Strong keyboarding and document preparation skills.

· Exceptional written and verbal communication abilities.

Required Skills and Abilities

The successful candidate will demonstrate the ability to:

· Work independently with minimal supervision.

· Exercise initiative, discretion, and sound judgment.

· Prioritize workloads in a fast-paced and continually changing environment.

· Manage multiple projects and deadlines simultaneously.

· Handle confidential and sensitive information with professionalism.

· Prepare detailed reports, correspondence, and presentations.

· Communicate effectively with members, elected officers, staff, and external stakeholders.

· Build and maintain positive working relationships.

· Troubleshoot general office technology and equipment.

· Provide exceptional customer service and member support.

· Adapt quickly to changing priorities and organizational needs.

Compensation & Benefits

· CUPE Local 30 offers an excellent compensation and benefits package in accordance with the Collective Agreement between COPE Local 397 (Clerical Staff) and CUPE Local 30, including:
