Speedy Transport is an LTL carrier specializing in Canada to USA transportation and logistics for Canada, USA, Ontario, Quebec and North America. Founded in 1941 as a local, same-day parcel pick-up and delivery service, Speedy Transport has grown to be one of central Canada’s premier carriers.

Position Summary:

The purpose of this position is to coordinate the day-to-day operations of a high-performance warehousing company and to lead the workforce to achieve safety, quality, service, and cost goals. This will be accomplished by taking a “Hands on” approach to everyday operations and staff issues.

Schedule:

  • Monday to Friday
  • 5:00 PM to 1:30 AM

Position Responsibilities:

  • Supervise and coordinate the daily administrative functions of the Operations department to ensure efficient workflow and timely completion of tasks.
  • Assign, prioritize, and monitor workloads to ensure service standards and operational deadlines are consistently met.
  • Provide leadership, training, guidance, and day-to-day support to Operations Assistants and administrative staff.
  • Oversee administrative activities associated with manifesting, freight documentation, and shipment processing, ensuring accuracy and compliance with company procedures.
  • Monitor the processing of shipments to brokers and ensure documentation is completed accurately and within required timelines.
  • Review and maintain customer accounts, ensuring information is accurate, current, and properly documented.
  • Act as the primary point of escalation for customer inquiries, service concerns, and administrative issues, ensuring timely resolution and follow-up.
  • Research customer concerns, coordinate with internal departments, and communicate resolutions in a professional and timely manner.
  • Oversee the retrieval and distribution of Proofs of Delivery (PODs) and ensure outstanding documentation requests are completed promptly.
  • Coordinate customer follow-up regarding unsigned delivery bills and other documentation discrepancies.
  • Supervise the handling of customer pickup requests and ensure requests are processed efficiently and accurately.
  • Monitor departmental administrative performance, identify workflow improvements, and recommend process enhancements to increase efficiency and service quality.
  • Prepare, maintain, and analyze operational reports, customer records, and performance metrics for management review.
  • Ensure departmental compliance with company policies, transportation procedures, and applicable regulatory requirements.
  • Assist with employee scheduling, onboarding, training, and performance coaching for administrative staff.
  • Foster a collaborative and customer-focused work environment while promoting continuous improvement and operational excellence.
  • Perform other administrative and supervisory duties as assigned.

Position Qualifications:

  • Previous supervisory or team leadership experience in an administrative, transportation, or logistics environment preferred.
  • Minimum 3 years of experience in transportation, logistics, or office administration.
  • Strong administrative, organizational, and document management skills with exceptional attention to detail.
  • Proficient in Microsoft Office Suite, including Excel, Outlook, and Word.
  • Experience using transportation management systems (TMS) or similar operational software is considered an asset.
  • Excellent customer service, communication, and interpersonal skills.
  • Strong problem-solving and conflict resolution abilities.
  • Ability to prioritize multiple tasks and manage competing deadlines in a fast-paced environment.
  • Demonstrated leadership skills with the ability to motivate, coach, and support a team.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
