Our Event Managers handle all aspects from the initial booking phase (sites, proposal, contract) through to the detailing specifics on Event Orders, where our operational teams bring the vision to life.
Our Event Managers are well-rounded, managing various bookings. Although much of their initial focus will be on the social market, our business demands require team members to assist with all inquiries and bookings of various market segments to ensure the business is secured effectively and efficiently.
The ideal candidate is genuine, caring, fun, friendly, and outgoing with the ability to build relationships and gain trust with our clients quickly. To ensure success, we need an individual who listens and understands what is important to our clients, disseminates information (in writing and verbally) for our operational teams to execute the plan successfully. In a nutshell, for our clients’ dreams and ideas to become reality, the Event Manager we require is confident, personable, well-organized, and detail-oriented.
Responsibilities
· Although each Event Manager has a primary segment, you will be required to adhere to the ‘Just Book It’ philosophy to ensure workloads are fairly distributed through the office
· Day-to-day negotiations with clients via phone, email, and face-to-face communication
· Ability to qualify calls, obtain historical information (if applicable) to properly position ourselves
· Ability to take direction, give suggestions, and work well with a dynamic team
· Contributes to overall business plans, goals and initiatives set for the Sales/Catering Department
· Ability to focus on customer expectations and clearly communicate that to various departments
· An understanding of revenue management for both catering and guest rooms
· Handle the execution of all groups with regard to food, beverage, audiovisual, and room blocks
· Plan, up-sell, and coordinate the details of the event with clients, including space requirements, function times, equipment, menus, billing instructions, and the appropriate proposal and/or sales contract for signature
· Promote the hotel through direct sales calls, phone calls, mailings, utilizing situational selling and prospecting skills/techniques in all facets of the position
· Prepare event orders a minimum of 3-4 weeks in advance of the event
· Prepare proposals for potential clients, and contracts for secured and repeat business
· Conduct site meetings and tours with clients, and attend/assist hotel functions when needed
· Follow up on guest satisfaction and share information with the entire team
· Lead food/event order meetings, communicating anomalies and clarifying event orders with supporting teams
· Assist in data compilation and budget planning for Catering
· Achieve catering profit goals by ensuring that negotiated pricing is in line with hotel profit objectives
· Analyze catering processes and implement change as needed
· Collect advanced payments and set up / coordinate credit for customers with the accounting department
· Adhere to sales & catering policies and procedures
Qualifications
· Minimum 2 years of previous event planning experience is a necessity
· Food and Beverage knowledge is an asset
· Professional, confident, detail-oriented and customer service focused
· Ability to work under pressure, but able to remain flexible in an ever-changing work environment
· Proven time management and organizational skills
· Exceptional computer skills with the ability to adapt with ease to various programs.
