Medical Office Assistant

Location: Kelowna, BC
Position: Full-Time
Specialty: Vascular Surgery

We are seeking a friendly, organized, and detail-oriented Medical Office Assistant to join our vascular surgery office. The successful candidate will play an important role in supporting our patients and clinical team by ensuring referrals, appointments, documentation, and clinic flow are managed efficiently and professionally.

Key Responsibilities

  • Manage incoming and outgoing patient referrals, including reviewing referral information, coordinating appointments, and communicating with referring offices as required
  • Contact patients regarding appointments, including appointment reminders, confirmations, and scheduling changes
  • Greet patients and provide a welcoming, professional experience throughout their visit
  • Bring patients into examination and consultation rooms, obtain and document relevant information as directed, and assist with clinic flow
  • Prepare examination and procedure rooms and ensure appropriate supplies and equipment are available
  • Proofread consultation letters and medical correspondence for spelling, grammar, formatting, and accuracy before they are finalized
  • Clean, disinfect, and sterilize medical equipment and instruments according to established infection-control protocols
  • Maintain cleanliness and organization of clinical and administrative areas
  • Assist physicians and clinical staff with administrative and clinic-related tasks as required
  • Maintain accurate and confidential patient records in accordance with privacy and clinic policies
  • Communicate professionally with patients, physicians, hospitals, and other healthcare providers
  • Perform general medical office duties, including scanning, filing, data entry, faxing, and document management

Qualifications & Skills

  • Previous experience in a medical office or healthcare setting is preferred
  • Medical Office Assistant certificate or equivalent experience is an asset
  • Previous Telus Med Access and MediTech experience is preferred
  • Strong organizational and time-management skills
  • Excellent attention to detail, particularly with medical documentation
  • Professional, compassionate, and patient-focused communication style
  • Ability to multitask and prioritize in a busy clinical environment
  • Comfortable working with electronic medical records and standard office software
  • Knowledge of medical terminology is preferred
  • Familiarity with infection prevention, equipment cleaning, and sterilization procedures is an asset
  • Ability to work independently while also being a collaborative member of a healthcare team
  • Commitment to patient confidentiality and privacy
