What You Will Do

Summary

The Human Resources Coordinator – H2H coordinates recruitment and workforce-administration services for the Hope to Health Research & Innovation Centre. The position’s primary responsibilities are recruitment coordination, employee records and benefits administration, onboarding and orientation, HR reporting, and maintenance of accurate workforce trackers and files

Reporting to the Manager, Human Resources – H2H, the Coordinator works closely with the HR Generalist and H2H leaders to coordinate recruitment from approved requisition through onboarding. The position collaborates with PHC Recruitment and related service partners to support job postings, candidate administration, offers and hiring processes.

What You Bring

Education, Training and Experience:

  • Post-secondary education in Human Resources, Business Administration or a related discipline.
  • A minimum of two years of related experience in recruitment coordination, employee-record administration, benefits administration or HR operations.
  • Experience working with centralized recruitment, employee-record, payroll or benefits service partners.
  • Experience maintaining workforce data, trackers, employee files and HR reports.
  • Experience in healthcare, a unionized environment or another complex organization is an asset.
  • An equivalent combination of education, training and experience may be considered.

Knowledge Skills, and Abilities

  • Working knowledge of recruitment, onboarding, employee-record and benefits-administration processes.
  • Strong attention to detail and commitment to accuracy in offers, employee transactions, workforce data and confidential records.
  • Ability to manage multiple recruitment processes, employee transactions and deadlines simultaneously.
  • Ability to identify missing information, data discrepancies and process issues and coordinate appropriate follow-up and corrective action.
  • Strong organizational, time-management, follow-up and prioritization skills.
  • Ability to prepare accurate correspondence, offers, employment documentation, reports and trackers.
  • Excellent communication and service skills when working with candidates, employees, leaders and external service partners.
  • Demonstrated ability to maintain confidentiality and exercise discretion when handling personal and employment information.
  • Proficiency with HR, recruitment and workforce systems and Microsoft Office applications, including Word, Excel, PowerPoint and Outlook.
  • Ability to learn and work effectively with recruitment, employee-record, benefits and workforce-reporting systems.
  • Ability to work independently within established processes and collaboratively with HR, operational, PHC and PHSA partners.

Your Day to Day:

Recruitment Coordination

Coordinates end-to-end recruitment administration for H2H unionized and excluded positions in collaboration with the HR Generalist and under the overall direction of the H2H HR Manager.

Receives approved recruitment requests and ensures required position, funding, classification and posting information is complete before recruitment begins.

Collaborates with PHC Recruitment to prepare and post vacancies, confirm recruitment timelines and address posting or candidate-administration issues.

Prepares approved job postings and advertisements and maintains accurate recruitment files and trackers.

Coordinates recruitment documentation and logistics, including application packages, approved shortlists, interviews, assessments, reference checks and candidate communications.

Schedules interviews and ensures panel members receive the required applications, interview guides, evaluation materials and conflict-of-interest information.

Prepares draft offer letters, employment contracts and hiring documentation using approved terms, classifications, compensation and templates.

Coordinates pre-employment requirements, including references, credentials, professional registrations, criminal-record checks, work authorization and other required documentation.

Tracks recruitment activity from requisition through hire and identifies delays, missing approvals or outstanding requirements.

Produces recruitment reports related to vacancies, recruitment status, time to fill, candidate activity and outstanding actions.

Employee Records and Benefits Administration

Serves as the primary H2H contact with PHSA for employee-record and benefits-administration processes.

Prepares and submits approved employee transactions, including hires, transfers, status changes, compensation changes, leaves, returns from leave and terminations.

Ensures employee transactions are complete, properly authorized and submitted within established timelines.

Coordinates employee benefits enrolment, changes and termination information with PHSA and responds to routine employee questions regarding benefits administration processes.

Follows up with PHSA regarding missing, delayed, rejected or inaccurate employee-record and benefits transactions.

Maintains accurate BC-CfE employee files, position records and workforce trackers and reconciles them with information received from PHSA and PHC.

Identifies discrepancies involving employee status, position, compensation, benefits, reporting relationships or employment dates and coordinates corrective action.

Maintains appropriate supporting documentation and audit trails for all employee-record and benefits transactions.

Protects employee privacy and ensures confidential records are stored and shared appropriately.

Onboarding and Orientation

Coordinates onboarding for new H2H employees and ensures all pre-employment and first-day requirements are completed.

Prepares new-hire documentation and coordinates employee-record creation, benefits enrolment, payroll information, systems access, identification and mandatory requirements.

Works with hiring leaders and service partners to develop and coordinate orientation schedules.

Provides HR orientation covering workplace expectations, HR processes, employee resources, required documentation and organizational information.

Coordinates required training, policy acknowledgements, credentials, criminal-record checks and other compliance requirements.

Maintains onboarding checklists and follows up on missing or incomplete requirements.

Monitors probationary review dates and provides timely reminders and documentation to leaders.

Coordinates employee transfers, employment changes and offboarding requirements when employees leave H2H.

Workforce Data, Reporting and Analytics Coordination

Maintains accurate H2H employee lists, position inventories, recruitment trackers, onboarding records, leave trackers and other workforce information.

Collaborates with PHC and PHSA data and analytics teams to obtain and reconcile employee, position and workforce information.

Compares external system information with BC-CfE records and identifies missing, inconsistent or outdated data.

Coordinates corrections to employee and position information with the appropriate PHC, PHSA, payroll, benefits or HR contact.

Produces routine workforce and recruitment reports using approved data sources and reporting templates.

Supports reporting related to workforce composition, vacancies, recruitment, onboarding, employee changes, leaves and compliance requirements.

Maintains organized and current electronic and physical HR files in accordance with privacy and records-management requirements.

Supports HR audits and compliance reviews by gathering documentation, reviewing files and tracking outstanding corrective actions.

Escalates significant or recurring workforce-data issues to the H2H HR Manager.

General HR Coordination

Serves as the first point of contact for routine recruitment, onboarding, employee records, and benefits administration inquiries.

Triages substantive employee-relations, collective-agreement, leave, accommodation or staffing questions to the HR Generalist or H2H HR Manager.

Provides administrative support for HR meetings, employee-relations matters, investigations and program implementation when required.

Supports the preparation and distribution of approved HR communications, forms, templates and employee resources.

Collaborates with the Staffing & Scheduling Coordinator to ensure approved employee changes and leaves are reflected in scheduling and timekeeping processes.

Supports implementation of approved HR programs, systems and process improvements affecting recruitment, onboarding, employee records or workforce reporting.

Additional Responsibilities

Performs other related duties consistent with the purpose and level of the position.

The BC-CFE is a world-renowned HIV/AIDS Centre with an innovative, low-barrier approach to healthcare delivery in clinical practice and an integrated group of research concentrations in Laboratory Sciences, Clinical Trials, Population Health and Epidemiology, Health Economics and Professional Education Programs. A multidisciplinary team of clinicians, including Physicians, Nurses, and peers, and researchers, including Health Economists, Epidemiologists, Clinical Researchers, Statisticians, Programmers, and Data Analysts, work collaboratively to improve the health of British Columbians with HIV and communities facing socioeconomic barriers in accessing healthcare.
