Position Purpose: The Project Coordinator is responsible for assisting with various Operating and Capital Projects and leading smaller projects. This includes initiation, planning, execution and close-out on such projects as building envelope, roofing, infrastructure, exhibit refurbishment, renovations and new construction. This position will assist and provide support in implementing the Strategic Plan.
Core Role Responsibilities:
- Responsibilities include design, cost estimating, drawings and specification preparation, scheduling, construction administration, site inspections and close out for assigned projects.
- Prepare/revise accurate technical documents as directed. This includes but is not limited to – drawings and design sketches reflecting architectural, mechanical, plumbing, electrical, landscape and structural components, site plans, SIC (base building drawings) and fire plans based on project work completed.
- Participates in meetings and interacts with architects, engineers, consultants, and government agencies, and works with contractors and Zoo staff with respect to exhibits, site renovations and other projects.
- Assists the Project Management Branch in reviewing architectural and engineering drawings, specifications and shop drawings.
- Prepares tender documents (drawings, specifications & Request for Quote/Tender/Proposal) according to Branch standards. Coordinates site meetings with contractors to review the project and receive quotes. Assists the Project Management Branch in reviewing tender submissions for award of project work.
- Prepares detailed cost estimates for planned projects for budget and construction implementation purposes.
- Performs on-going construction site inspections at project locations. Completes site inspection reports including progress updates and information on conformance and quality assurance.
- Oversees contractors’ work during project implementation to ensure that all work is being completed in accordance with the contract documents (drawings & specifications).
- Works with project team to prepare/ update status reports.
- Maintains project filing, photo records and AutoCAD library.
- Attends various Toronto Zoo meetings as required.
- Assist with the creation/revision of Branch standards and documents.
- Assists guests on site as required and ensures excellent customer service is provided by Zoo staff.
- Follow all policies and branch instructions.
- Attends appropriate training as required.
Technical Knowledge and Skills:
- Must have a post-secondary degree/diploma in Architecture/Architectural Technology or Engineering/Engineering Technology from a recognized institution or the equivalent amount of training and related experience.
- Must have a minimum of 2 years proven experience in the same or similar position (experience in architectural/engineering and construction-related work).
- Highly proficient in AutoCAD. Knowledge and experience with Revit would be considered an asset.
- Must be capable of interpreting architectural, structural, mechanical, electrical, civil, and landscape drawings.
- Knowledge of project management, PMBOK Standards, office procedures, construction methods, planning and related procedures would be considered an asset.
- Knowledge and familiarity of the Accessibility for Ontarians with Disabilities Act (AODA), WHMIS legislation, the Ontario Occupational Health and Safety Act, Ontario Building Code and the National Building and Fire Code as they apply to renovations, relocations and new construction for facilities and landscape. Other regulations that apply to job duties.
- Must have knowledge of construction materials and methods.
- Must have knowledge of scheduling and contractor relations and be capable of multitasking, planning, organizing and prioritizing workload to meet deadlines. This includes the ability to work on multiple projects at one time.
- Ability to organize own work program and carry out responsibilities with minimal direct supervision in a fast, accurate and efficient manner.
- Ability to work in a team environment and be a supportive team member (trades, techs, engineers, management, others) under high pressure at times.
- Must ensure all applicable licenses and certificates remain valid and in good standing. Copies of licenses and certificates to be provided at time of hire and upon renewal.
- Well-developed interpersonal skills, along with strong communications skills.
- Working knowledge of the Ontario Occupational Health & Safety Act and WHMIS legislation.
- Must possess an unrestricted Class G driver’s license valid in the Province of Ontario along with a good driving record.
- Must be knowledgeable in the use of computerized programs and systems including Microsoft Project.
- Must be able to work weekends, shifts and holidays as scheduled.
- Must be able to deal with staff and public in a courteous and efficient manner.
- Capable of meeting the physical requirements of the position.
