About the Role

Previvo is seeking a professional, organized, and patient-focused Medical Office Assistant & Patient Care Coordinator to join our growing team.

This individual will serve as one of the first points of contact for patients and will play a key role in delivering an exceptional patient experience. The successful candidate will thrive in a fast-paced clinical environment, communicate clearly and professionally, and manage multiple priorities with strong attention to detail.

This role combines medical office administration, patient coordination, program support, and relationship management within a modern longevity and functional medicine clinic.

International Medical Graduates and internationally trained healthcare professionals are welcome to apply.

Key Responsibilities

  • Deliver a premium, patient-centered experience throughout the patient journey
  • Answer and direct incoming phone calls, emails, and patient inquiries
  • Schedule, coordinate, and manage patient appointments
  • Process patient payments for Previvo programs and services
  • Manage patient communication, reminders, recalls, and follow-ups
  • Review and organize referrals, faxes, and incoming documentation
  • Coordinate testing appointments and support clinical workflows
  • Verify insurance information and assist with billing-related inquiries
  • Maintain accurate patient records and administrative documentation
  • Support physicians, nurses, injectors, and other practitioners with administrative and operational needs
  • Assist patients in navigating Previvo programs, services, and testing recommendations
  • Support patient onboarding and program enrollment
  • Educate patients on clinic services and offerings within the scope of the role
  • Build strong patient relationships while supporting long-term engagement and retention
  • Coordinate communication between patients and healthcare providers to help ensure a seamless care experience
  • Maintain a clean, organized, and professional front-desk environment
  • Contribute to efficient daily clinic operations while maintaining patient confidentiality

For International Medical Graduates, this role may also include additional responsibilities depending on experience, training, scope, and clinic needs, such as:

  • Supporting patient intake and history gathering
  • Assisting with clinical documentation and chart preparation
  • Helping organize diagnostic testing pathways and follow-up workflows
  • Supporting patient education on Previvo programs and services
  • Assisting with care coordination between physicians, nurses, and allied health providers
  • Helping prepare patients for consultations and assessments
  • Reviewing incoming medical records, referrals, and laboratory documentation for organization and completeness
  • Supporting quality improvement projects, clinical workflow development, and patient journey optimization
  • Assisting with research, clinical content development, and patient education materials
  • Supporting program enrollment and long-term patient follow-up

Qualifications

  • Previous experience in a medical office, clinic, dermatology clinic, wellness clinic, or related healthcare setting preferred
  • International Medical Graduates and internationally trained healthcare professionals are encouraged to apply
  • Education or experience in medicine, nursing, nutrition, kinesiology, exercise science, health sciences, psychology, or a related field is considered an asset
  • Strong customer service and patient relations skills
  • Excellent verbal and written communication skills
  • Knowledge of medical terminology is an asset
  • Strong organizational skills with the ability to multitask effectively
  • High attention to detail, professionalism, and discretion
  • Experience with Accuro EMR, Jane App, scheduling software, Microsoft Office, or Google Workspace preferred
  • Passion for health, wellness, longevity, fitness, nutrition, aesthetics, or preventive healthcare
  • Interest in learning about advanced diagnostics, functional medicine, and longevity-focused healthcare
  • Ability to build rapport and maintain positive patient relationships
  • Ability to work collaboratively within a multidisciplinary healthcare team
