CONSTRUCTION PROJECT ADMINISTRATOR

Job Summary:

Progressive Real Estate was established in 2010 and has seen consistent and considerable growth. We are a vertically integrated company that builds multi-family buildings that we hold and manage for the long term. Our strict adherence to excellence has enabled us to become one of Winnipeg’s fastest growing private developers.

We are seeking a detail-oriented and organized Construction Project Administrator to support the successful execution of construction projects. The ideal candidate will assist with project coordination, documentation, compliance, communication between all stakeholders, material management, deliverables and ordering.

Key Responsibilities:

  • Assist in the planning, coordination, and administration of construction projects.
  • Produce accurate take offs for procurement of materials.
  • Manage purchase orders, change orders and RFI’s as directed.
  • Assist with tendering of upcoming projects, following up with active bidders.
  • Maintain and organize project documentation, including contracts, permits, change orders, and invoices.
  • Track project deliverables to ensure compliance with project goals. Ordering these as necessary and requested by team.
  • Serve as a point of contact between project managers, pre-construction manager and contractors, suppliers, and clients.
  • Prepare and distribute project-related reports, meeting minutes, agendas and correspondence as requested.
  • Support procurement activities, including purchasing materials and managing vendor relationships.
  • Monitor and ensure compliance with safety regulations, building codes, and company policies, including collection of insurances and clearances.
  • Process and track invoices, related to the project.
  • Assist in resolving administrative and logistical issues that arise during the project.
  • Coordinate and schedule meetings, site visits, and inspections.
  • Maintain up-to-date records in project management software and other relevant systems.
  • Assist with contract administration and review of project-related documentation, and organized filing structures.
  • Communicate with stakeholders to relay project updates, issues, and action plans.
  • Ensure all stakeholders have up to date drawings during construction.
  • Material management, receive, inspect and verify all materials accurately delivered to site. Including accuracy of invoices to purchase orders.
  • Following up with suppliers with shop drawings, quotations, signed documents.
  • Conduct on site inspections for quality control and compliance to ensure materials and workmanship meet quality standards prior to building turnovers.

Qualifications & Requirements:

  • Further education in Construction Management, Estimating, or a related field (preferred).
  • Mandatory 2+ years of experience in construction administration, project coordination, estimating or a similar role.
  • Strong organizational and multitasking abilities with attention to detail.
  • Proficiency in project management software, Excel, Microsoft Office, and Bluebeam.
  • Excellent written and verbal communication skills a must.
  • Ability to work collaboratively with multiple teams and stakeholders.
  • Familiarity with construction terminology, contracts, and industry best practices.
  • Ability to read construction drawings and interpret the information.
  • Knowledge of financial processes, including budgeting and invoicing, is a plus.
  • This is 75% in office and 25% on site. This may change during turnovers and project requirements.
