We are currently seeking a Logistics & Freight Coordinator to work out of our office in Guelph, Ontario.

Our fluid conveyance offering ranges from end user hose replacements right through to full hydraulic conveyance kitting for some of North America’s largest OEMs. We also offer full hydraulic system servicing, both on site and in our shop. Our engineering department can help with the smallest of requests right up to designing and building large power units. Our drive to sell and service the best brands in the world has established our relationship with Hetronic Radio Remotes, by being Hetronic Canada, our clients can now lean on the UMI Group for support in radio remotes and electrical controls.

The Logistics & Freight Coordinator is responsible for ensuring the timely and efficient movement of materials, components, and finished goods throughout the supply chain. This role includes selecting carriers, negotiating freight rates, and maintaining strong relationships with transportation partners to optimize performance and reduce costs for both domestic and international shipments. The Logistics & Expediting Coordinator ensures complete shipment visibility to internal stakeholders and resolves all transportation issues. Additionally, this role involves monitoring order progress, coordinating with suppliers and internal teams, and resolving delays to maintain production schedules and customer commitments. Strong organizational skills, proactive communication, and the ability to manage multiple priorities in a fast-paced environment are essential.

Responsibilities

Freight & Transportation Management

  • Coordinate all inbound and outbound domestic and international shipments.
  • Select and schedule carriers based on cost, service, transit time, and customer requirements.
  • Obtain and negotiate competitive freight quotations to achieve the best overall transportation value.
  • Monitor shipments from origin to final destination, ensuring on-time pickup and delivery.
  • Expedite delayed shipments and proactively communicate status updates to internal stakeholders.
  • Investigate and resolve freight delays, service failures, damaged shipments, shortages, and freight claims.
  • Develop and maintain strong working relationships with carriers, freight forwarders, and customs brokers.
  • Evaluate carrier performance using key metrics including on-time delivery, service quality, transit time, and freight cost.

Import / Export & Customs Compliance

  • Coordinate customs clearance activities with customs brokers.
  • Prepare and maintain shipping documentation including Bills of Lading, commercial invoices, packing lists, certificates of origin, and customs documentation.
  • Ensure shipments comply with applicable import/export regulations and customer shipping requirements.
  • Monitor international shipments and resolve customs clearance issues to minimize delays.

Shipment Coordination & Expediting

  • Monitor supplier shipment schedules and confirm materials are shipped according to required delivery dates.
  • Work closely with suppliers to expedite overdue shipments and communicate revised shipping schedules.
  • Coordinate priority shipments to support customer commitments and operational requirements.
  • Maintain complete visibility of open shipments and provide accurate delivery updates to internal departments.

Freight Cost Management

  • Review freight invoices for accuracy and resolve billing discrepancies.
  • Monitor transportation spending and identify opportunities for freight savings.
  • Recommend improvements to shipping methods, carrier utilization, consolidation opportunities, and routing strategies to reduce transportation costs.

Documentation & Reporting

  • Maintain accurate freight records within the ERP system.
  • Track shipment status and update transportation records.
  • Prepare reports on freight spend, carrier performance, on-time delivery, shipment activity, and transportation metrics.
  • Maintain shipping documentation in accordance with company record retention requirements.

Continuous Improvement

  • Identify opportunities to improve transportation processes and supply chain efficiency.
  • Support implementation of logistics initiatives, transportation technologies, and ERP enhancements.
  • Assist in developing standardized freight procedures and best practices.

Qualifications:

  • Post-secondary education in Supply Chain Management, Logistics, Transportation, or a related field.
  • Minimum of 2 years of experience in freight coordination, transportation, logistics, or supply chain operations.
  • Experience coordinating both domestic and international freight.
  • Working knowledge of freight terms, customs documentation, Incoterms, and transportation regulations.
  • Experience working with freight carriers, freight forwarders, customs brokers, and 3PL providers.
  • Proficiency with ERP systems and Microsoft Office, particularly Excel.
  • Strong negotiation, organization, problem-solving, and communication skills.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
