The Reservations Specialist is responsible for managing all aspects of resort reservations, including accommodations, golf, dining, and guest experiences. This position works closely with multiple departments to ensure every reservation is accurate, personalized, and seamlessly executed.

Beyond booking reservations, this role serves as a trusted resource for guests by providing knowledgeable recommendations, anticipating guest needs, identifying opportunities to enhance their stay, and maximizing resort revenue through strategic upselling and occupancy optimization.

CORE RESPONSIBILITIES:

Luxury Guest Experience

· Deliver exceptional service through every guest interaction by phone, email, and online inquiries.

· Create personalized guest itineraries tailored to each visitor's needs and preferences.

· Anticipate guest expectations by arranging special requests, celebrations, amenities, and VIP experiences.

· Build meaningful guest relationships through professional, warm, and engaging communication.

· Ensure every guest interaction reflects the standards of a luxury destination.

Reservations Management

· Manage reservations for luxury accommodations.

· Coordinate a variety of guest type packages while ensuring contracted rates and package inclusions are accurate.

· Book golf tee times.

· Manage dining reservations while adhering to restaurant capacities and operational guidelines.

· Coordinate academy bookings, simulator reservations, and additional resort experiences.

· Support Sales team in handling group reservations – rooming lists and tour operator bookings.

· Be a point of contact for 3rd party rate relationships such as Tour Operators, Travel Agencies.

· Process reservation modifications, cancellations, waitlists, and special requests efficiently.

· Maintain accurate guest profiles, reservation details, billing instructions, deposits, and payment information within Maestro PMS.

· Monitor room inventory, availability, and booking pace to maximize occupancy and guest satisfaction.

· Ensure reservation accuracy while minimizing operational errors.

Revenue Optimization

· Identify opportunities to maximize occupancy through strategic reservation management.

· Promote upgraded accommodations, golf experiences, dining options, and resort amenities through thoughtful upselling.

· Assist in reducing reservation cancellations by offering alternative dates or accommodations whenever possible.

· Monitor reservation trends and communicate opportunities to leadership.

· Support revenue-generating initiatives during peak and shoulder seasons.

Guest Communication

· Respond promptly to all reservation inquiries while maintaining exceptional service standards.

· Provide detailed information regarding accommodations, golf offerings, resort amenities, dining experiences, transportation, and policies.

· Complete personalized pre-arrival communications to ensure guests are fully prepared for their stay.

· Coordinate arrival details, transportation requests, and special accommodations with internal departments.

Operational Collaboration

· Work closely with Concierge, Golf Operations, Food & Beverage and Sales to deliver seamless guest experiences.

· Communicate VIP arrivals, special occasions, accessibility requests, and operational updates.

· Assist Guest Experience operations during high-volume periods through cross-training and front-of-house support.

Administration

· Maintain accurate reservation records and guest profiles.

· Monitor reservation queues, follow-up tasks, and guest correspondence.

· Ensure reservation documentation complies with company standards.

· Participate in continuous improvement initiatives by identifying opportunities to enhance guest service and operational efficiency.

Qualifications

· Minimum 2 years of experience in luxury hospitality, resort operations, hotel reservations, front office, or guest services preferred.

· Previous experience with Property Management Systems (Maestro experience considered a strong asset).

· CRM Management systems as asset (Salesforce)

· Outstanding verbal and written communication skills.

· Exceptional organizational skills with the ability to manage multiple priorities.

· Professional telephone etiquette and strong interpersonal skills.

· Excellent attention to detail and accuracy.

· Strong computer proficiency.

· Ability to exercise sound judgment and problem-solving skills in a dynamic environment.

Expected start date: July 2026
