West Oakville Preschool Centre (WOPC)

Supervisor Job Mandate

Organization Overview: West Oakville Preschool Centre (WOPC) is a non-profit Child Care Centre located in Oakville, Ontario. The Centre is licensed by the Ontario Ministry of Education and holds a Purchase of Services Agreement with Halton Region Children’s Services. WOPC is staffed by qualified Registered Early Childhood Educators (RECEs) and Assistant Teachers, (ECAs) all of whom are knowledgeable about the Child Care and Early Years Act. The Centre provides care and nurturing in an enriched learning environment for children aged 3 months to 6 years, ensuring compliance with all legislative requirements.

Position Overview: The Supervisor will report to the Executive Director (ED) and play a crucial role in overseeing daily operations, mentoring and coaching staff, and addressing parent concerns. The position requires flexibility, including the potential to work evenings and weekends.

Primary Duties and Responsibilities:

1. Employee Development and Management:

· Recruit, hire, train, schedule, supervise, and manage qualified staff (RECEs and ECAs).

· Set clear, measurable goals for employee performance.

· Conduct annual evaluations with the ED for all supervised positions.

· Implement effective employee monitoring, including observing performance and completing monthly observation notes.

· Address performance concerns promptly following the Employee Performance Management and Correction policy.

· Maintain documentation of evaluations, disciplinary actions, and coaching/mentoring discussions.

· Delegate responsibilities to staff as outlined in their job descriptions.

· Conduct staff meetings to discuss initiatives, resolve issues, and support professional development. Record and distribute minutes from team meetings.

· Provide leadership to enable staff contributions to high-quality programs respectful of diversity and inclusion and foster a cohesive and positive team environment.

· Ensure consistent application of human resource policies and procedures.

2. Curriculum Planning and Implementation:

· Work collaboratively with employees to build and create environments and experiences that are meaningful and engaging, as set out in “How Does Learning Happen? ’

· Guide employees in pedagogical practices and reflective practices for implementing the foundations found in “HDLH?”

· Assist employees in engaging in self-reflective practices and provide employees helpful pedagogical resources.

· Role model effective leadership and managerial behaviour that aligns with WOPC core values.

· Facilitate meetings and discussions with team to reflect, plan and update practices and programs

3. Financial Management

· Assist in budget development and monitor the alignment of actual expenses and revenue with the budgeted figures.

· Prepare and submit accurate monthly Visa expense reports to Executive Director in compliance with WOPC policies.

· Prepare and submit biweekly parent fee schedule, ensuring accuracy based on children's enrollment and any changes.

· Compile and submit accurate monthly attendance records for subsidy programs to Halton Region.

· Approve and submit timesheets to ensure timely payroll processing.

· Manage the monthly budget for program and operational expenses as directed by the Executive Director, ensuring all expenditures remain within the designated monthly budget.

4. Communications and Administrative Management:

· Perform all duties necessary to ensure the safety and welfare of each child, including retaining 100% compliance for Ministry of Education licensing and Halton Public Health inspections.

· Strive to always deliver excellent customer service. Concerns from clients will be expected to be managed by this role, with escalation to ED or/and the Board of Directors where required.

· Utilize current technologies for daily duties, including documentation, records and communications related to children, staff, and daily operations.

· Utilize Google Drive to access and organize Centre files following the defined processes.

· Communicate regularly with the Executive Director regarding facilities, enrollment, and program quality.

· Investigate and report serious occurrences, escalating as needed.

· Collaborate on special event planning and execution.

· Manage the waiting list, maintain enrollment, and ensure the Centre operates at full capacity.

· Ensure WOPC's website is up-to-date and reflects the Centre's pedagogical practices.

· Schedule ECE or ECA student or high school students access for field education and other projects.

· Liaise with external agencies to support children with special needs.

· Work with the ED to develop policies and procedures consistent with program standards.

· Performing other duties as required.

Skills and Qualifications:

· Minimum of 3 years in a supervisory role in a childcare centre.

· MUST have a RECE Designation and be in good standing with the College of Early Childhood Educators.

· Current Vulnerable Sector Police Check (within 6 months) or willing to obtain.

· Standard First Aid Certificate.

· Up-to-date immunizations or a notarized Statement of Conscience or Religious Belief for immunization exemption.

· Knowledge of the Child Care and Early Years Act (CCEYA) and related childcare issues.

· Experience with play-based learning and curriculum, including "How Does Learning Happen?" and the ELECT framework.

· Strong problem-solving skills and the ability to prioritize tasks.

· Proven leadership, conflict resolution, and motivational skills.

· Ability to work effectively with diverse families, colleagues, and service providers.

· Proficient in Microsoft Office and other relevant applications.

· Basic accounting, budget development, and financial management skills are assets.

· A Valid Ontario Driver’s License and access to a car is considered an asset.

Job Details:

· Starting Salary: $61,054.5, commensurate with experience
