Unio Tech Solutions offers a full range of IT services and special projects for medium and large sized companies throughout Canada and the USA. We work with clients such as Uber, Sun Life Financial, Sephora, Allstate Insurance, Scotiabank, Walmart, Manulife and many other Fortune 500 companies.
POSITION SUMMARY
The Project Administrator plays a key role in supporting the successful delivery of technology projects by handling administrative tasks, maintaining project documentation, tracking technician schedules, booking staff travel, approving tech timesheets and more. This position supports the Project Manager by ensures projects are organized and accurately documented, from initiation through completion.
The ideal candidate works well independently as well as part of a team. Must enjoy working on administrative tasks, be organized and have and an excellent written and verbal communication.
Key Responsibilities
- Support Project Managers with administrative tasks related to project planning and closeout of technology projects including preparing documentation for technicians.
- Assisting to schedule project meetings, site visits, and resource assignments.
- Monitor project progress through our internal project planning software and escalate scheduling or resource concerns when required.
- Assist with project status reporting and documentation.
- Research and coordinate travel bookings including flights, hotels and vehicle rentals.
- Prepare and maintain project files and properly archived completed projects.
- Record project statistics.
- Assist with creating work orders, project schedules, and project reports.
- Maintain internal project management systems and databases.
- Coordinate insurance requirements for client projects.
- Assist with coordinating subcontractors and ensure all their administrative paperwork is accurate and complete including insurance and workers compensation requirements.
- Assist with approving technician timesheets.
- Assist with daily communications to the tech teams about upcoming projects.
- Assisting the Supply Coordinator from time to time.
- Other duties as required.
Qualifications
- Minimum of 2+ years of administrative, project coordination, or project support experience.
- Experience working in a technology, telecommunications, film production, construction, or professional services environment is considered an asset.
- Strong proficiency with Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams.

Preferred Experience
Experience supporting projects involving:
- Office technology deployments
- IT infrastructure installations
- Network and cabling projects
- Office relocations and technology refreshes
- Managed IT services
Work Schedule
- Standard business hours (usually between 9:30am-5:30pm) with occasional flexibility to support project deadlines
Pay: $22.00-$24.00 per hour
