Full job description

The Tarcott Group is a leading residential and commercial construction and maintenance company providing year round services to stratas and commercial buildings. Our team is committed to delivering reliable, high-quality work and maintaining strong, long-term relationships with our clients.

We are seeking a highly organized, customer-focused Client Care & Scheduling Coordinator to be the primary point of contact between our clients, field crews, and internal team. This role is critical to ensuring a smooth customer experience from initial inquiry through job completion.

The ideal candidate thrives in a fast-paced construction environment, enjoys problem-solving, and understands the importance of clear communication, accurate scheduling, and follow-through.

Client Care & Communication

  • Act as the first point of contact for incoming calls, emails, and service requests
  • Provide professional, timely, and friendly communication to clients, property managers, and stakeholders
  • Set clear expectations with clients regarding timelines, scheduling, and next steps
  • Handle client questions, changes, and concerns with empathy and confidence
  • Maintain strong relationships with repeat clients and property managers

Scheduling & Coordination

  • Schedule crews efficiently based on job scope, urgency, and availability
  • Coordinate job start dates, site access, and work windows with clients
  • Adjust schedules as needed due to weather, site conditions, or priority changes
  • Ensure crews receive accurate job details, locations, and timelines
  • Confirm appointments and proactively communicate any schedule changes

Administrative & Operational Support

  • Create and manage work orders and job information in internal systems
  • Ensure job scopes are complete and accurate before crews are dispatched
  • Track job status and follow up to confirm completion
  • Support project managers and operations with scheduling updates and reporting
  • Maintain organized records and documentation

  • Previous experience in customer service, scheduling, or coordination
  • Experience in construction, property management, or service-based industries is an asset
  • Familiarity with work orders, dispatching, or field coordination is a plus

Job Types: Full-time, Permanent

Pay: $23.00-$25.00 per hour

Expected hours: 40 per week
