About the Role

As our HSE Administrator, you’ll support internal and client teams to execute safety and compliance tasks across multiple projects and industries. You’ll manage communications, documentation, onboarding, data tracking, and more—all with a focus on accuracy, efficiency, and a five-star experience.

You’ll work closely with our Coordinators and Advisors to keep client programs organized and on track.

What You’ll Be Doing (Key Responsibilities)

1. Admin & Project Coordination

· Manage multiple email accounts and administrative phone lines.

· Support onboarding processes for workers, subcontractors, and site setups.

· Maintain preferred vendor lists and compliance records.

· Track deadlines, certifications, and critical action items.

2. System & Data Management

· Maintain digital safety and transportation management systems.

· Leverage task management platforms (Asana), safety systems (Workhub), and modern tools to keep work organized.

· Collect, enter, and manage client HSE data for reporting and operational analysis.

· Prepare and update client documents, templates, and presentations.

3. Communication & Compliance

· Draft engaging toolbox talks, safety newsletters, and bulletins.

· Coordinate audits, RFP responses, and bid documentation.

· Book required courses, medicals, and testing.

· Track and close out incident reports and related follow-ups.

4. Meetings & Reporting

· Attend client meetings and record actionable minutes, tasks, and follow-ups.

· Disseminate vendor updates and key notices across clients’ teams.

· Provide regular, polished reporting support to clients and internal teams.

5. General Support & Process Improvement

· Backfill other administrative roles as needed during team absences.

· Contribute directly to internal process improvements and special project execution.

What We’re Looking For

· Experience: 2–3 years in a high-volume administrative, coordination, or fast-paced office role.

· Tech Proficiency: Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams) and strong comfort learning/using cloud-based tools.

· Speed & Precision: Exceptional organizational and writing skills with the proven ability to manage multiple shifting priorities with speed and accuracy.

· Systems Mindset: Process-minded, adaptable, and genuinely eager to improve workflow systems.

· Software Assets: Experience with Asana, Jotform, Workhub, RingCentral, Adobe Pro, or Canva is a definite plus.

· Bonus: Prior exposure to HSE, compliance, or project coordination environments.
