We are looking for a Patient Concierge who does not just manage a front desk...

but creates an experience. Builds relationships. Drives retention. And holds the standard that makes The Vanity Lab different.

The Role

The Patient Concierge is the heartbeat of our front-of-house experience. You are the first impression, the warm constant, and the trusted face patients come back to see.

You are responsible for ensuring every patient feels welcomed, valued, and supported through their visit, while driving the clinic outcomes that make The Vanity Lab thrive.

What You Will Be Responsible For

Patient Experience and Journey

  • Greet every patient warmly and professionally upon arrival
  • Ensure each patient feels welcome, comfortable, and valued throughout their visit
  • Create a calm, organized, and elevated front-of-house environment at all times
  • Manage patient flow to support a seamless and efficient clinic experience

Rebooking and Patient Education

  • Ensure all patients are rebooked before leaving the clinic
  • Educate patients on their recommended treatment plans and timing
  • Educate patients on retail products and help curate and adjust routines as needed
  • Communicate the value of consistency and maintenance treatments
  • Support schedule optimization by rebooking the right patients into the right time slots

Patient Communication and Relationship Building

  • Build genuine relationships by knowing patient names, preferences, and treatment history
  • Communicate clearly, confidently, and professionally in all interactions
  • Answer patient questions or direct them to the appropriate team member when needed
  • Ensure every interaction reflects warmth, care, and attention to detail

Front Desk Operations and Clinic Presentation

  • Maintain a clean, organized, and visually elevated reception area at all times
  • Ensure all front-of-house elements reflect brand standards: cleanliness, music, and overall feel
  • Manage check-ins, check-outs, and payments accurately and efficiently
  • Ensure all patient consent forms are completed, up to date, and accurately documented prior to treatment

Team Communication and Operational Support

  • Communicate effectively with medical, clinical, and patient experience teams
  • Ensure smooth transitions between providers and front desk
  • Flag scheduling gaps, patient concerns, or opportunities to leadership
  • Support overall clinic flow and efficiency

  • Retail sales contribution: 13% of clinic sales
  • Clinic standards score: 95%+

What You Bring

  • Strong customer service or hospitality experience
  • Excellent communication and interpersonal skills
  • High attention to detail and organization
  • The ability to multitask calmly in a fast-paced environment
  • A professional, polished, and genuinely warm demeanor
  • Experience in medical aesthetics or a clinic environment (preferred)
