Full job description

Westfield Secondary School is a Ministry of Education-inspected private secondary school offering Ontario secondary school credits in Grades 9–12. As our school continues to grow, we are seeking a knowledgeable, organized, and student-focused Guidance Counsellor to join and strengthen our Guidance Department.

The successful candidate will support students with academic planning, graduation requirements, post-secondary pathways, and school records. The role requires strong knowledge of Ontario secondary school requirements and the ability to work accurately with student records and school information systems.

Key Responsibilities

· Provide academic counselling and individualized course planning for students in Grades 9–12.

· Monitor students’ progress toward Ontario Secondary School Diploma (OSSD) requirements, including credits, compulsory requirements, community involvement hours, and the literacy requirement.

· Maintain and review Ontario Student Records (OSRs) and Ontario Student Transcripts (OSTs), ensuring that documentation is accurate, complete, and up to date.

· Support Prior Learning Assessment and Recognition (PLAR) processes and related documentation, where applicable.

· Assist with OnSIS-related student data review, verification, correction, and reporting in collaboration with school administration.

· Use Edsembli and other school systems to review and maintain student information, grades, attendance, courses, and related records.

· Support students with university and college planning, applications, and pathway decisions, including OUAC and OCAS processes.

· Advise students and families regarding course selections, prerequisites, graduation planning, and post-secondary admission requirements.

· Develop and review individual study plans and graduation plans, particularly for new, transfer, and international students.

· Review incoming student documentation and previous academic records to support appropriate placement and course planning.

· Communicate professionally and promptly with students, parents/guardians, teachers, administrators, and other relevant parties.

· Work collaboratively with the Guidance Department and school administration to identify and resolve student-record, scheduling, graduation, and academic-planning issues.

· Maintain confidentiality and handle student records and personal information in accordance with applicable legislation and school policies.

· Perform other guidance-related duties as assigned to support student success and school operations.

Qualifications and Experience

· Previous experience in secondary school guidance, student services, academic advising, or a closely related role.

· Strong knowledge of Ontario secondary school diploma requirements and Ministry of Education policies and procedures.

· Experience working with OSRs, OSTs, PLAR, OnSIS, and Ontario secondary school student records.

· Experience with Edsembli is strongly preferred; familiarity with Schoology or other learning management systems is an asset.

· Knowledge of OUAC and OCAS application processes and Ontario post-secondary pathways.

· Strong organizational skills and attention to detail, particularly when handling student records and graduation requirements.

· Strong written and verbal communication skills and the ability to communicate effectively with students and families from diverse backgrounds.

· Ability to work independently, solve problems, manage competing priorities, and collaborate effectively as part of a school team.

· A strong commitment to student well-being, achievement, and success.
