Full job description

Medical Office/Optometry Administrator Team Member.

Sarnia Family Optometry is hiring a new full time member of our front office/optical team. We are looking to hire a friendly, efficient and dedicated member who is able to interact with the public effectively and is comfortable in an active, and often fast paced environment.

The successful candidate will be working side by side with excellent experienced, long term office staff. Training is provided to familiarize new staff with our electronic health records and specialized testing equipment. Experience is beneficial in health record management and health care offices. We encourage soon-to-graduate, or current graduates of the medical administration program to apply.

Importantly, public encounters encompass 80% of the typical working day. Understanding the care and confidentiality of patient records and medical care is critical. English language proficiency required.

Expect 5 days/week starting most days at 8:15 am with some days running as late as 7 pm. One hour lunch. The office is closed weekends and STAT holidays. Office is closed between Christmas and New Years.

Starting pay range $19.00-$20.50, 4% vacation pay, biweekly pay schedule.

DUTIES: Optometry Office Administrator:

  • Provide administrative support duties such as scheduling appointments, answering telephone calls, triaging emergencies, filing records & reports, patient documentation, recalling patients.
  • Communication with patients in person, by phone, and email
  • Clerical experience and skills including filing, reception & telephone
  • Administering supplemental exam testing such as retina scans & visual fields
  • Passionate about customer experience; a great communicator who can provide exceptional patient care.
  • Able to work & multi-task in a fast-paced environment
  • Assistance with retail of eyewear products such as eyeglasses & contact lenses
  • Proficient keyboarding skills with a working knowledge of internet functions, and faxing
  • Conflict resolution skills & interpersonal skills
  • Maintaining a pleasant, courteous manner with patients, families, public and staff
  • Maintain patient confidentiality
  • Accurate data entry, collection, and recording of patient records
  • Processing incoming & outgoing Insurance claims, courier packages, and orders- Perform administrative tasks- welcoming patients, answering phone calls, scheduling appointments, and confidentially managing patient electronic records
  • Assist with patient check-in and check-out processes- verifying OHIP eligibility through the online portal, taking payments, submitting insurance claims/payments
  • Ordering patient contact lenses/glasses
  • Adjustment and fitting of glasses
  • Sending and organizing referral letters and follow up reports
  • Maintain and organize files, both electronic and physical, ensuring accuracy and confidentiality.
  • Ordering office supplies as needed. Maintaining office cleanliness.
  • Respectable business attire and cleanliness.

EXPERIENCE:
- Previous experience working in a medical office or healthcare setting is not required. Most importantly, the successful candidate will be comfortable dealing with the public.
- Familiarity with medical/optical terminology and procedures is beneficial
- Proficiency in using electronic health record (EHR) systems is beneficial but training is provided for our unique EMR

Office administrators are responsible for performing various administrative tasks to support the optical healthcare team, providing excellent patient care along the way. This position requires strong organizational skills, attention to detail, the ability to multitask effectively, and able to be flexible.
