About the Role

The Travel Project Coordinator executes the day-to-day operations behind our luxury itineraries — from vendor coordination and contract tracking to manifest reconciliation and inventory monitoring. You'll be hands-on with the details that keep each tour product running smoothly, working closely with suppliers, sales, and the broader operations team.

Key Responsibilities

  • Vendor Coordination & Contract Support
  • Support hotel, transport, and land supplier coordination across Europe, Asia, Africa, and South America, including gathering and comparing rate quotes
  • Serve as a Cantonese-speaking point of contact for Chinese-speaking vendors on day-to-day service questions, with strong Chinese reading/writing ability for contracts and documentation
  • Track supplier contract terms (cancellation policies, attrition rates, complimentary room ratios) and flag discrepancies as they arise
  • Hotel, Restaurant & Experience Support
  • Research and shortlist hotels, restaurants, and experiences for leadership review
  • Help coordinate on-site or local-network evaluations of new hotel and restaurant partners
  • Track emerging destinations and boutique property/dining trends relevant to our traveler demographic
  • Product & Merchandising Support
  • Assist with market and seasonality research to inform which destinations are in-demand or trending
  • Support package assembly (flights, hotels, land experiences) and pricing updates throughout the sales cycle
  • Track competitor package pricing and inclusions
  • Assist with product lifecycle tasks — costing worksheets, launch checklists, and post-tour review summaries
  • Inventory & Yield Support
  • Monitor tour load factors (seats sold vs. seats held) and maintain up-to-date tracking sheets
  • Flag approaching release dates for unsold hotel rooms or bus seats
  • Support waitlist coordination with the sales team
  • Fulfillment & Reconciliation
  • Generate and distribute Land Vouchers and service orders to suppliers
  • Reconcile traveler names, rooming lists, and dietary requirements against supplier confirmations
  • Verify final supplier invoices against contracted rates before passing to accounting
  • Onsite Issue Resolution & Crisis Support
  • Be the hero when things go wrong: step in immediately when issues arise while clients are actively touring
  • Work directly with onsite tour leaders to resolve problems in real time — poor-quality hotels, subpar meals, itinerary disruptions, and other service failures
  • Support tour leaders and coordinate with suppliers/leadership during client medical emergencies or other urgent incidents, ensuring the right people are looped in immediately
  • Remain calm and solutions-focused under pressure, escalating when a situation requires higher-level intervention or compensation decisions

Qualifications & Requirements

  • Cantonese speaking required; ability to read and write Chinese required
  • Highly organized and detail-oriented, comfortable managing multiple trackers and deadlines at once
  • Comfortable communicating with vendors by phone to confirm details or follow up on outstanding items
  • Ability to work within firm deadlines (ticketing time limits, release dates) without missing cutoffs
  • Calm, decisive problem-solver who can be reached and respond quickly when urgent onsite issues arise, including outside standard business hours during active tour departures

  • 酒店、餐廳與體驗支援 — 研究並篩選酒店、餐廳及體驗活動供管理層審閱;協助安排新合作夥伴的實地或當地網絡評估;追蹤新興目的地及精品酒店/餐飲趨勢。
  • 產品與商品企劃支援 — 協助市場及季節性研究;支援套裝行程組合及定價更新;追蹤同業定價;協助產品生命周期相關工作。
  • 庫存與收益支援 — 監控團組負載率並維持追蹤表;留意並跟進即將到期的釋放日期;協助銷售團隊處理候補名單。
  • 訂單履行與核對 — 製作並分發陸上服務憑證及服務單;核對旅客名單、分房及膳食要求;核實供應商發票與合約價格相符。
  • 現場問題處理與緊急應變 — 當旅客在團中遇到問題時,第一時間挺身而出解決問題;與現場領隊緊密合作,即時處理酒店質素欠佳、餐飲質素不理想或行程受阻等服務問題;於旅客發生醫療緊急事故或其他緊急事件時,支援領隊並與供應商及管理層協調,確保相關人員能立即介入;在壓力下保持冷靜並以解決問題為導向,遇需要更高層介入或賠償決策的情況時,及時上報。
