MEDICAL OFFICE ADMINISTRATIVE SPECIALIST

We are currently seeking an exceptional Medical Office Administrative Specialist to join our team on a full-time basis to cover an 18-month maternity leave. The ideal candidate is organized, professional, highly adaptable, and thrives in a fast-paced healthcare environment.

ROLES AND RESPONSIBILITIES:

  • Schedule, coordinate, and manage patient appointments
  • Answer and manage inbound and outbound telephone calls in a professional and courteous manner
  • Provide patients with general information and support while maintaining a high standard of customer service
  • Process and verify private health insurance coverage and benefits
  • Process referrals and assist with the administrative coordination of patient care
  • Complete administrative duties including scanning, faxing, filing, and document management
  • Maintain accurate, organized, and up-to-date patient records
  • Assist with the coordination and organization of medical documentation
  • Monitor inventory levels and coordinate ordering of office and medical supplies
  • Support physicians, nurses, and other healthcare professionals with day-to-day administrative needs
  • Maintain patient confidentiality and adhere to privacy policies at all times
  • Contribute to a positive, collaborative, and professional workplace environment
  • Assist with rooming patients, including escorting patients to appropriate treatment areas and ensuring rooms are properly prepared between appointments

SKILLS AND QUALIFICATIONS:

  • Medical Office Administration certification is preferred
  • 2–3 years of experience in healthcare administration or a related field is preferred
  • Experience with Jane and Input Health scheduling systems is considered an asset but is not required
  • Ability to efficiently manage and navigate multiple booking and scheduling systems
  • Proficiency with medical software and Microsoft Office, with the ability and willingness to learn new programs and technology
  • Excellent verbal and written communication skills
  • Strong interpersonal and customer-service skills
  • Excellent organizational and time-management abilities
  • Strong attention to detail and accuracy
  • Demonstrated problem-solving and decision-making skills
  • Ability to follow instructions and effectively support the needs of physicians, nurses, and other healthcare professionals
  • Ability to manage confidential and sensitive information with professionalism and discretion
  • Ability to work independently while also contributing effectively as part of a team
  • Ability to remain calm, professional, and adaptable in a fast-paced and changing environment
  • Additional language proficiency is considered an asset but is not required
