Office Operations & Client Experience Coordinator
West Broadway | Vancouver, BC | $40,000 - $48,000 depending on experience
Full-Time | Monday-Friday | 8:15 a.m. – 5:00 p.m.
About Us:
For more than 40 years, MPS Executive Suites has provided professional office space, meeting facilities, virtual office services, and administrative support to businesses of every size. Today, we proudly support more than 200 clients representing virtually every industry imaginable.
Our team often says that one year at MPS feels like three years anywhere else because of the incredible variety of businesses, industries, and experiences you'll encounter. If you enjoy learning, thrive on variety, and want to build valuable business skills, you'll never stop growing here.
About the Role:
No two days at MPS are ever the same.
As our Office Operations & Client Experience Coordinator, you'll be the first impression of MPS while helping keep our busy business centre running smoothly every day. You'll work closely with the Marketing Coordinator, Community Manager, and Owner & General Manager, providing administrative, operational, and project support while helping deliver an exceptional experience for every client.
We're looking for someone who is passionate about helping people. Making someone's day easier isn't just part of the job—it's what energizes you.
You'll thrive in this role if you have a growth mindset, enjoy learning, naturally take initiative, stay calm when things get busy, love being organized, take pride in solving problems, and are committed to delivering exceptional customer service.
If you're the kind of person who notices what needs to be done without being asked and enjoys being an important part of a collaborative team, we'd love to hear from you.
What You'll Do:
- Provide administrative, operational, and project support to the Marketing Coordinator, Community Manager, and Owner & General Manager.
- Welcome clients and visitors with professionalism, warmth, and confidence.
- Manage a busy multi-line telephone system while delivering exceptional customer service.
- Support more than 200 business clients with a wide variety of reception and administrative services.
- Coordinate meeting room bookings, mail, courier services, and virtual office requests.
- Prepare documents, scan, print, proofread, and provide general administrative support.
- Assist with marketing, client service, and office initiatives as required.
- Look for opportunities to improve processes, increase efficiency, and enhance the overall client experience.
Required Qualifications:
- A minimum of 1–2 years' experience in a professional office environment where managing a busy multi-line telephone system was a significant part of your role.
- Exceptional verbal and written communication skills, including excellent spelling and grammar.
- Outstanding organizational skills with meticulous attention to detail.
- Confidence using Microsoft 365 and the ability to learn new software quickly.
- The ability to manage competing priorities while maintaining professionalism, accuracy, and a positive attitude.
- A proactive, solutions-focused approach and the confidence to work independently while contributing to a collaborative team.
Please note: This position requires previous experience working in a professional office environment where managing a busy multi-line telephone system was a core responsibility. While we appreciate all customer service experience, candidates whose background is primarily in retail, restaurants, salons, or similar customer-facing environments are unlikely to have the experience required for this role.
Compensation & Benefits:
- Monday to Friday | 8:15 a.m. – 5:00 p.m.
- Extended health benefits after three months.
- Paid vacation.
- A supportive, collaborative team environment.
- The opportunity to learn, grow, and make a meaningful impact every day.
If you're looking for more than just your next job and want to build a career in a professional office where your contributions truly matter, we'd love to hear from you.
Please submit your resume and a brief cover letter telling us why you'd be a great fit for the MPS team.
