Position Summary

The Residential Leasing & Property Administrator is responsible for leasing apartments, maintaining occupancy levels, and providing excellent customer service to prospective and current tenants. This role includes conducting property tours, processing applications, coordinating move-ins, move-outs, and supporting day-to-day leasing and general administration operations.

Key Responsibilities:

Apartment Leasing

  • Respond to phone, email, and walk-in inquiries promptly and professionally
  • Conduct property tours with prospective residents
  • Promote property features, amenities, and community benefits
  • Follow up with prospects to convert leads into signed leases
  • Maintain strong occupancy levels and minimize vacancy loss
  • Assist with marketing efforts, including online listings, advertisements, and open houses
  • Achieve leasing goals and occupancy targets established by management

Applications, Move-Ins and Move- Outs

  • Process rental applications and required documentation
  • Prepare lease agreements and clearly explain lease terms and conditions
  • Coordinate move-in dates, welcome new residents, and complete move-in inspections
  • Schedule and conduct move-out inspections with outgoing tenants.
  • Ensure all move-in and move- out processes and documentation are completed accurately and on time

Customer Service & Resident Relations

  • Provide professional, responsive, and friendly service to residents
  • Assist with resident concerns and escalate issues when necessary
  • Maintain positive resident relationships to support retention and resident satisfaction

Administrative Duties & Property Support

  • Maintain accurate resident and prospect records
  • Update vacancy reports and leasing activity logs
  • File documents and maintain organized leasing records
  • Ensure show suites and common areas remain clean, presentable, and ready for tours
  • Assist with property events and resident engagement initiatives
  • Ensure leasing activities comply with applicable residential tenancy and human rights legislation

Qualifications & Skills

  • Previous leasing, customer service, sales, or property management experience preferred
  • Strong communication and interpersonal skills
  • Professional and positive attitude
  • Strong organizational and time management skills
  • Ability to multitask in a fast-paced environment
  • Proficiency with email, spreadsheets, and property management software
  • Knowledge of residential tenancy legislation is an asset
  • Strong customer service orientation
  • Effective sales, negotiation, and closing skills
  • Strong problem-solving abilities and attention to detail
  • Ability to work independently and collaboratively within a team environment

Scheduling Flexibility & Compensation

  • Part-time position with flexible scheduling based on property needs
  • Weekly schedules may vary based on leasing demand and vacancy levels
  • Hours may include evenings, weekends, and a minimum of two weekends per month
  • Compensation includes a competitive hourly wage plus commission opportunities based on successful lease signings and completed move-ins
  • Potential for this role to transition into a full-time position beginning in Fall 2026, based on business needs and individual performance.

Pay: $20.00 per hour
