Project Coordinator

TwinCon is currently seeking a motivated and organized individual to join our team as a Project Coordinator based in Kelowna, BC.

Reporting to the Senior Management Team, the Project Coordinator will provide administrative and project support to Project Managers and Superintendents, helping ensure projects are delivered safely, efficiently, on schedule, and within budget. This role is ideal for someone looking to develop a career in civil construction by gaining experience on a variety of municipal, land development, and infrastructure projects.

Responsibilities

  • Assist Project Managers with the coordination of day-to-day project activities.
  • Support project start-up and close-out activities, including permits, submittals, as-built documentation, warranties, and project records.
  • Assist with preparing construction proposals, tenders, estimates, and bid submissions.
  • Obtain quotations from suppliers and subcontractors and assist with procurement activities.
  • Prepare purchase orders, subcontract agreements, work orders, and change orders for review and approval.
  • Coordinate the ordering and delivery of materials, equipment, and supplies to meet project schedules.
  • Maintain project documentation, including contracts, RFIs, submittals, transmittals, meeting minutes, and correspondence.
  • Assist with tracking project budgets, schedules, job costing, and monthly progress billings.
  • Review vendor invoices and supporting documentation for accuracy prior to processing.
  • Attend project meetings and prepare meeting minutes and action item follow-up.
  • Coordinate with Superintendents, field personnel, subcontractors, suppliers, consultants, engineers, and clients to support project requirements.
  • Assist with obtaining permits, business licences, utility clearances, crossing agreements, Certificates of Insurance, bonding documents, and other project-related approvals.
  • Prepare project field packages and support documentation for site personnel.
  • Assist with maintaining organized project files and administrative records.
  • Monitor project progress and communicate potential scheduling or coordination issues to management.
  • Ensure health and safety requirements are considered in all project activities and support company safety initiatives.
  • Represent TwinCon Enterprises Ltd. professionally in all interactions with clients, consultants, subcontractors, suppliers, regulatory agencies, and other stakeholders.
  • Perform other project coordination and administrative duties as assigned.

Requirements

  • Civil Engineering Technology diploma, Civil Engineering degree, Construction Management education, or equivalent combination of education and experience.
  • Previous experience in civil construction, construction administration, project coordination, or a related field is considered an asset.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Ability to read and interpret construction drawings and specifications is considered an asset.
  • Strong attention to detail and problem-solving skills.
  • Ability to work both independently and collaboratively in a fast-paced team environment.
  • Valid Class 5 driver's licence.

Work Schedule: Monday to Friday, 8:00 a.m. – 4:30 p.m.

Compensation: $26.00–$30.00 per hour, based on experience and qualifications.
