Job Description

JOB SUMMARY

Reporting to the Manager of Records and Information Management, the Corporate Information Representative is responsible for operational activities related to a fully integrated records management program, including participating in all aspects of corporate records management lifecycle such as maintaining corporate records and operating the corporate records management system. Provide records research and retrieval support as well as administrative and project support services for enterprise records management projects and the records management program. Provide support, consultation, and advice to Niagara Regional staff for the management of corporate records. Provide training about records management processes, policies, and procedures, and records management applications and information systems to Niagara Regional staff.

QUALIFICATIONS

EDUCATION

  • Post-secondary degree in Library and Information Science, Public Administration, Political Science, or related discipline, or an equivalent combination of education and experience.
  • Record and Information Management (RIM) industry certification (e.g., Information Governance, Records, and Information Management and/or Privacy, Access, and Information Management).

KNOWLEDGE/EXPERIENCE

  • Minimum of 3 years of records management experience, preferably within a municipal environment, 5 years preferred.
  • Proficiency with Enterprise Content Management (ECM) systems, preferably Records365.
  • Proficiency in MS Office Suite software, including Microsoft SharePoint and Power BI for reporting.
  • Experience understanding and interpreting legislation and regulatory requirements relevant to records and information management.
  • Experience managing physical and electronic records and demonstrated understanding of the records management lifecycle, including assessment, classification, and retention of physical and electronic records.
  • Experience with the creation and maintenance of retention schedules and file plans.
  • Knowledge of corporate policies and procedures related to records management, including retention schedules.
  • Experience with the delivery of Enterprise Content Management projects preferred.

SKILLS

  • Excellent communication and presentation skills, written and oral, with the ability to build and maintain effective working relationships.
  • Ability to handle confidential and sensitive information with discretion and tact.
  • Excellent time management skills and ability to work effectively with multiple priorities and pressures with minimum supervision.

SPECIAL CONDITIONS

  • Must be able to lift to 30 lbs. safely.
  • Must be able to perform duties which involve, stretching, bending, lifting, and carrying.
