Job Summary

Ambleside Family Clinic is seeking an organized, empathetic Medical Office Assistant (MOA) to join our fast-paced family practice. You will be the first point of contact for our patients, managing the front desk, coordinating patient flow, and handling administrative tasks to ensure our clinic runs smoothly. We are seeking a dynamic and detail-oriented Medical Office Assistant to join our healthcare team! In this vital role, you will be the friendly face and efficient organizer behind the scenes, ensuring smooth daily operations within a busy medical or dental office.

Job Title: Medical Office Assistant (MOA) – Family Practice
Company: Ambleside Family Clinic
Location: Edmonton, AB (Ambleside/Windermere area)
Position Type: Full-Time
Wage: $18.00 - $22.00 per hour (depending on experience)
Benefits: Health care benefits available after completion of the probationary period.

Key Responsibilities

  • Patient Reception: Greet families, complete check-ins, verify Alberta Health Care Insurance Plan (AHCIP) coverage, and manage waiting room flow.
  • Scheduling: Coordinate a high volume of appointments, manage urgent walk-in gaps, and handle multi-line phone systems.
  • Referrals & Diagnostics: Process specialist referrals, track incoming lab results, and book diagnostic imaging.
  • EMR Management: Maintain, update, and organize confidential patient files within AVA EMR.
  • Billing & Admin: Process AHCIP claims through AVA, handle third-party billing for forms, and collect private payments for uninsured services.
  • Clinical Support: Clean and sanitize examination rooms between visits, guide patients to rooms, and stock medical supplies.

Qualifications

  • Completion of an accredited Medical Office Assistant (MOA) certificate or diploma.
  • 1–2 years of experience in an Alberta family medicine setting preferred.
  • Proficiency with AVA EMR software is a major asset.
  • Strong communication skills and a compassionate, patient-focused attitude.
  • Strict adherence to confidentiality and the Alberta Health Information Act (HIA).

Skills

  • Proficiency in electronic medical records platforms such as Epic or Dentrix
  • Strong knowledge of medical terminology to accurately communicate with patients and staff
  • Experience as a dental receptionist or in a dental office setting is highly desirable
  • Prior medical or dental office experience demonstrating familiarity with front desk responsibilities
  • Excellent organizational skills with attention to detail in managing schedules and records
  • Ability to operate multi-line phone systems efficiently in a busy environment
  • Solid office experience supporting administrative tasks within healthcare settings
