Do You Love Working With People and Making a Difference?

Are you a warm, enthusiastic, organized, and motivated individual who genuinely enjoys helping others? Do you take pride in creating positive experiences, building relationships, and being part of a team that makes a difference in people's lives?

If so, we would love to meet you!

Total Health Chiropractic Center is an established, patient-centred healthcare practice serving our community since 1998. We offer chiropractic care, registered massage therapy, and acupuncture in a positive, welcoming, wellness-focused environment.

We are seeking an exceptional individual to become the welcoming face and voice of our practice, while helping coordinate the daily operations of our office.

The heart of this position is people. We believe every patient deserves to feel welcomed, respected, valued, and genuinely cared for.

Beyond exceptional patient service, we are looking for someone who enjoys taking initiative, improving systems, learning new technology, and contributing to the continued growth and success of our practice.

Previous office management experience is welcome, but not required. We believe that the right combination of character, communication skills, organization, and initiative can be just as valuable as experience.

Your Responsibilities

Patient Experience & Communication

  • Warmly greet patients and create an exceptional experience during every visit.
  • Answer telephone calls, respond to inquiries, and communicate with patients professionally and compassionately.
  • Develop positive, lasting relationships with patients and help maintain our welcoming office environment.
  • Coordinate patient communications, appointment reminders, and follow-up with active and inactive patients.

Scheduling & Daily Office Operations

  • Manage appointment scheduling for our chiropractic practice, acupuncturist, and registered massage therapist.
  • Coordinate patient appointments, scheduling changes, cancellations, and follow-up.
  • Process payments, billing, insurance information, and maintain accurate, confidential patient records.
  • Manage daily administrative responsibilities and help ensure efficient, organized office operations.

Technology, Initiative & Office Leadership

  • Assist in expanding and optimizing our online booking system and digital patient communications.
  • Learn and utilize Atlas Chiropractic software and Atlas Hub to improve administrative efficiency and the patient experience.
  • Identify opportunities to improve scheduling, patient communication, and office workflows.
  • Take increasing ownership of office operations and contribute ideas that support the continued development of the practice.

Patient Education & Engagement

  • Assist in organizing new-patient orientation workshops that introduce patients to our philosophy of care and approach to health and wellness.
  • Coordinate workshop invitations, registration, preparation, and follow-up.
  • Support occasional evening workshops when scheduled.

What We're Looking For

Essential Qualities

  • A genuinely warm, kind, positive, and people-oriented personality.
  • Excellent verbal and written English communication skills.
  • Strong interpersonal skills and a natural ability to make people feel comfortable and welcome.
  • Exceptional organization, attention to detail, and ability to manage multiple responsibilities.
  • Reliability, punctuality, professionalism, and a strong sense of responsibility.
  • A self-motivated attitude with the initiative to recognize and address problems.
  • Confidence using computers and enthusiasm for learning new software and systems.
  • A collaborative, flexible attitude and willingness to contribute to the success of the team.

Preferred, but Not Required

  • Previous experience in a chiropractic, medical, dental, physiotherapy, or other healthcare office.
  • Experience with reception, scheduling, administration, or office coordination.
  • Familiarity with Atlas Chiropractic software, Atlas Hub, or other practice management systems.
  • Experience improving office procedures, implementing technology, or coordinating administrative operations.
  • Previous office management or team leadership experience.

We are equally interested in candidates who demonstrate exceptional potential and a genuine desire to learn and grow.

Compensation & Benefits

  • Annual base salary of $42,000–$48,000, depending on experience, qualifications, and demonstrated abilities.
  • Additional performance-based bonus opportunities tied to the financial growth and success of our chiropractic practice.
  • Opportunities for salary advancement as skills, responsibilities, and office leadership capabilities develop.
  • On-site parking.
  • Staff wellness program.
  • A positive, supportive, patient-centred working environment.
  • Opportunities for continued learning, professional development, and increased responsibility.

Work Schedule

This is a permanent, salaried position with a consistent alternating two-week schedule:

  • Week 1: Approximately 32 hours.
  • Week 2: Approximately 36.5 hours, including Saturday.
  • Saturdays are required every other week.
  • Average regular schedule of approximately 34 hours per week.
  • Occasional evening patient education workshops, generally Monday or Wednesday from 7:00–8:00 p.m., approximately 2–3 times per month when offered.

Why Join Our Team?

At Total Health Chiropractic Center, we believe a successful healthcare practice is built on meaningful relationships, exceptional service, teamwork, and a genuine commitment to helping others.

We are looking for someone who wants more than simply a job answering phones. We value people who take pride in their work, enjoy making a difference, and want to contribute to something meaningful.

For the right person, this position offers the opportunity to become an essential member of our practice and grow into a significant office leadership role.
