Summary

We are seeking a Medical Booking Clerk to join our team at La Vie Executive Health Centre in Kanata. This vital role supports our mission by managing appointment scheduling and patient communications, ensuring seamless healthcare experiences for our clients.

This is for an open vacancy. This is an onsite role, five days a week at our 2500 Solandt, Kanata ON location.

Responsibilities

  • Manage a high volume of inbound and outbound calls to schedule, reschedule, or cancel patient appointments accurately within our Electronic Health Record (EHR) system.
  • Answer patient questions thoroughly and compassionately, providing clear information regarding clinic procedures, directions, required documentation, and visit preparations.
  • Monitor booking queues, follow up on voicemail inquiries promptly, and route complex medical questions to the appropriate clinical staff.
  • Maintain strict adherence to healthcare privacy regulations and clinic protocols to protect sensitive patient data.

Qualifications & Skills

  • 1–2 years of experience in a medical office, healthcare call center, or customer service role is highly preferred.
  • Exceptional verbal and written communication skills with a warm, professional, and empathetic phone manner.
  • Comfortable navigating Electronic Health Record (EHR) software, basic scheduling tools, and multi-line phone systems.
  • Ability to handle a fast-paced environment, balance multiple tasks, and maintain accuracy under pressure.
  • Strong critical-thinking skills to resolve scheduling conflicts and address patient concerns calmly.
