Job Overview
We are seeking a dedicated and organized Receptionist/Secretary to join our medical office team. The ideal candidate will be responsible for providing exceptional administrative support, ensuring smooth operations at the front desk, and delivering excellent patient service. This role requires proficiency in various medical software systems and a strong understanding of medical terminology and billing practices.

Responsibilities

  • Greet patients and visitors warmly, providing a welcoming environment.
  • Manage multi-line phone systems, handling incoming calls with professionalism and courtesy.
  • Schedule appointments and manage the calendar for medical professionals.
  • Perform insurance verification and assist patients with billing inquiries.
  • Maintain accurate medical records and documentation in compliance with HIPAA regulations.
  • Utilize EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar for patient management.
  • Assist with medical coding (ICD-9, ICD-10, CPT coding) and documentation review.
  • Support the preparation of care plans and ensure all necessary information is collected during patient intake.
  • Handle clerical tasks such as filing, typing, and managing correspondence.
  • Provide administrative support to healthcare providers as needed.

Qualifications

  • Previous experience in a medical office or clinic setting is preferred.
  • Familiarity with EHR systems and medical terminology is essential.
  • Proficiency in Microsoft Office Suite and computer skills for data entry and record management.
  • Strong organizational skills with attention to detail in documentation processes.
  • Excellent phone etiquette and customer service skills to interact effectively with patients.
