Job Title: Program Manager

Reporting to: Managing Director

GENERAL SUMMARY:

The Program Manager provides high-level coordination and business support to the Managing Director, helping to ensure the effective delivery of the services priorities and day-to-day activities. This role is responsible for coordinating schedules, meetings, communications, projects, and business initiatives while supporting the smooth operation of the service. Working closely with the Managing Director and internal and external stakeholders, the Program Manager helps keep priorities organized, information flowing, and commitments on track.

Leadership & Administrative Support

  • Provide day-to-day business and administrative support to the Managing Director
  • Manage a complex calendar, including scheduling meetings, coordinating priorities, and resolving conflicts
  • Coordinate domestic and international travel, itineraries, expense reporting, and other logistical requirements
  • Prepare meeting agendas, briefing materials, presentations, and supporting documentation
  • Conduct research and compile information to support meetings, client engagements, and business initiatives
  • Maintain confidential information and exercise a high degree of professionalism and discretion

Program & Project Coordination

  • Coordinate key business initiatives, projects, and action plans on behalf of the Managing Director
  • Track deliverables, timelines, and follow-up activities to ensure commitments are completed
  • Organize leadership meetings, team meetings, and planning sessions, including agendas, meeting materials, minutes, and action tracking
  • Assist in coordinating cross-functional activities and maintaining alignment across stakeholders
  • Support special projects and other initiatives as assigned

Communications & Stakeholder Support

  • Draft, edit, and format presentations, reports, client materials, correspondence, and internal communications
  • Coordinate communication with internal teams, clients, and external partners in a professional and timely manner
  • Prepare briefing materials for client meetings, speaking engagements, and leadership discussions
  • Build positive working relationships with internal and external stakeholders while providing responsive and professional support

Business Process & Technology Enablement

  • Identify opportunities to improve administrative processes and business workflows
  • Leverage Microsoft 365, collaboration tools, and AI-enabled productivity tools to improve meeting preparation, document management, action tracking, and information sharing
  • Support the implementation of new tools and processes that improve efficiency across the Global Corporate Advisory practice
  • Maintain organized records, templates, and knowledge resources to support effective business operations

MINIMUM QUALIFICATIONS:

  • Bachelor's degree or diploma in Business Administration, Communications, Project Management, or a related field, or an equivalent combination of education and experience
  • 5–8 years of experience supporting senior leaders in an executive assistant, program coordinator, project coordinator, or business support role
  • Experience coordinating projects, meetings, and multiple priorities in a fast-paced, professional environment
  • Exceptional organizational and time management skills with strong attention to detail
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with the ability to build effective working relationships across all levels of an organization
  • Demonstrated ability to manage confidential information with discretion and professionalism
  • Advanced proficiency with Microsoft Office 365, including Outlook, Word, PowerPoint, Excel, and Teams
  • Experience using AI-enabled productivity tools to improve efficiency and support day-to-day work

The salary range reflects the expected compensation for this position. The final salary offered will be determined based on a holistic assessment of the candidates’ experience, education, training and alignment with the role’s expectations.
